Who We Are Looking For
We are looking for an enthusiastic individual to join our team in the USANA AP market as an Executive Assistant. In this role, you will be responsible for providing comprehensive administrative support to the Chief Sales Officer (CSO) and offering ongoing administrative assistance to the management team. Responsibilities include generating reports and presentations, organizing travel and accommodation, transcribing minutes, and performing various organizational tasks. Additionally, the role involves budget preparation and control, fiscal affairs, equipment utilization, records control, and special management studies.
What You Will Do as a USANA Executive Assistant
- Manage, organize and coordinate the CSO’s meetings, appointments, travel itinerary, and conference calls
- Prioritize and organize projects for the CSO
- Handle email and diary management for the CSO
- Keep the CSO informed of daily agendas and updates
- Organize cross-country executive and management meetings, assignments and transcribing minutes
- Coordinate travel and destination management of CSO’s during business meetings and events
- Coordinate travel and destination management of visiting executives and guests
- Facilitate communication with external stakeholders and Associates, many of whom are high-pin leaders
- Manage projects, prepare letters and reports, and handle data entry as needed. This includes preparing, filing, and sending letters and memos
- Organize and execute corporate events directed by CSO, not limited to, fundraising, Associate, and staff events
- Manage general office supplies, equipment and stationery, ordering and purchasing, and process purchase order (PO)
- Compile and submit monthly expenses via Coupa
- Handle general enquiries, courier and mail services
- Perform reception duties, including greeting and serving visitors professionally
- Maintain confidentiality and uphold a high level of professionalism
- Collaborate with internal teams and external parties to ensure effective project and tasks execution
- Prepare PowerPoint for presentations and reports
Additional
- Identify administrative needs and develop appropriate solutions or recommendations
- Actively participate in meetings by taking minutes and following up on tasks
- Send email updates and communications to entire company as needed
- Be available for occasional weekend and evening travel, both domestically and internationally, for USANA events as required by business needs
- Perform other duties as assigned or needed
Background and Skills You Will Need
- A bachelor’s degree in business or related disciplines and at least 8 years’ experience in an all-round office or executive administrator position
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Ability to multi-task effectively in a fast-paced environment
- Strong proficiency in written and spoken English, including excellent grammar and writing skills, is required. Proficiency in Mandarin or other languages will be considered a plus
- Superior communication and exceptional interpersonal skills, along with a professional demeanor, collaborative nature, and the ability to work effectively in a team environment across all levels in the Company, are needed to build strong relationships with employees and Associates
- Must be detail-oriented, an expert user of MS Office Suite, and proficient with report writing
