Job Responsibilities:
- Manage inbound and outbound phone calls and correspondence (e-mail, letters, packages etc.)
- Track stocks of office supplies, place orders when necessary, and work with vendors
- Review, log and validate invoices, escalating discrepancies where appropriate
- Serve as point-of-contact for shipping lines and freight forwarders for proof of export
- Assist in logistics coordination, including management of warehouse deliveries
- Preparing payroll
- Handling office tasks, such as filing, generating reports, and setting up for meetings
- Manage agendas, travel arrangements, appointments, etc.
- Create, manage, and maintain records and databases with personnel, financial, and other data
- Submit timely reports and prepare presentations/proposals as assigned
- Perform additional responsibilities as assigned and assist colleagues whenever necessary
Qualifications
Education
- High School Diploma, BS/BA preferred
Travel Requirements
- None
Experience
- Proven experience as an office administrator, office assistant, or relevant role
- Experience with export shipping processes and logistics preferred
Required Skills
- Must be Bilingual. Proficient in English and Spanish
- Outstanding communication and interpersonal skills
- Excellent organizational abilities
- Knowledge of office managements systems and procedures
- Familiarity with basic accounting principles
- Excellent knowledge of MS Office
- Self-motivated with a focus on working towards, and exceeding, targets.
- Ability to set and self-manage priorities
