Catering and Event Services Assistant

Overview

Event Services is a growing department whose primary function is to assure the events hosted by Utah State University, "Exceed Expectations".

The Catering & Event Services Assistant (Staff Assistant II) will be the first point of contact for the Catering and Event Services Office. They will perform a range of office support activities, including but not limited to, answering phones and directing calls, greeting and directing visitors, answering questions, and performing routine clerical, data entry, and/or word processing. This position will also be trained in event software programs to support both the Catering and Scheduling teams as well as support the Associate Director in clerical needs.

Responsibilities

• Answers telephones, takes messages, and provides general information; greets and directs visitors; and answers routine inquiries.
• Assist the Associate Directors in scheduling meetings and managing their calendars
• Performs a variety of routine typing assignments including drafting basic correspondence and data entry.
• Opens and routes incoming mail; distributes to department staff.
• Copies and or duplicates materials as requested; may oversee the day-to-day operation of the copy machine.
• Establishes, maintains, processes, and/or updates files, records, and/or other documents.
• May order, stock, and distribute office supplies.
• Support the scheduling coordinator with workload
• Support the catering coordinator with workload
• Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualification:

• Two years of experience in an office setting or an associate degree/vocational training is required or an equivalent combination of education and experience

Preferred Qualifications:

• Experience in catering or event planning office or company.
• Experience in working in a collegiate environment in a similar position.

Knowledge, Skills, and Abilities:

• Excellent verbal and written skills
• Working knowledge of Microsoft Word and Excel, Outlook, and learn new software quickly
• Excellent organizational skills
• Ability to prioritize work

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.
