We are currently seeking an Administrative Assistant to join our team.
Essential Functions
- Answer phones and route calls, provide information to client, refer questions and issues to appropriate staff for problem resolution in a professional manor.
- Must be able to take and distribute messages appropriately.
- Perform administrative duties including but not limited to typing documents, data entry, photocopying, mailing, scanning and faxing.
- Create internal/external correspondence, presentations and spreadsheets.
- Schedule and set-up internal meetings/conference calls.
- May act as liaison for vendors and ensure appropriate coding and payment of office related invoices.
- Assist with the hiring practices.
- Assist with new hire paperwork.
- Assist with creating and maintaining personnel files.
- Assist other co-workers with other duties when requested.
- Creates a behavior and conduct that maintains a positive work atmosphere by acting and communicating in a manner to get along with customers, vendors, co-workers and management.
- Consistent and on time attendance.
Additional Responsibilities
- Maintain a professional work area. (Conference room, front desk and waiting area)
- Supports Regional Office Manager and other management staff in daily clerical needs.
- Provides support and assistance to help the facility and personnel function as a team environment.
Minimum Requirements
- Proficiency in Microsoft Office and Outlook.
- Must be able to write, read and comprehend written and verbal job instructions/information.
- Must be able to communicate with others.
- Able to multi-task and produce in a high paced team oriented environment.
- Strong interpersonal and customer service skills.
- Organized, detail oriented and follows-through.
- Excellent Adobe, Microsoft Word, Excel, Power Point, and Outlook skills.
- Able to pay close attention to details and identify/correct mistakes.
- Excellent skills interacting with other staff members, outside representatives, and customers.
- Must possess good planning, analysis, and organizing skills.
- Able to delegate work effectively and manage time efficiently.
- Capable of performing repetitive tasks.
