What are the responsibilities and job description for the Payroll Analyst position at V&E Restaurant Group?
The Payroll Analyst will be responsible for processing and managing the Payroll & HRIS for V&E Restaurant Group. This position will work closely with the Operations and Finance partners and report directly to the Vice President of Human Resources.
Payroll/HR
- Process the bi-weekly payrolls for US (Exempt/Nonexempt) consistent with federal and state wage and hour laws.
- Ongoing ADP auditing and maintenance of workflows from the HRIS system into ADP for accuracy.
- Ensure accurate PTO and Time & Attendance setups for all new hires within ADP.
- Keep up to date with all payroll-related legislation as it applies to minimum wage, FLSA, etc.
- Manage all Payroll Inbox inquiries and provide payment information or responses to all inquiries.
- Process off-cycle payrolls and special payrolls run when needed.
- Review and approve all year-end payroll-related tax documents: W-2s, 1095s.
- Manage all employee files in compliance with company rules and all legal requirements.
- Conserve data integrity and all payroll-related confidentiality in line with HR best practices.
- Work closely with Accounting regarding GL variances and payroll-related data/information.
- Cross train and serve as backup to fellow Payroll Analysts on the alternate payroll brands.
- Partner with the HR team to update HR forms, company policies, and procedures to ensure all processes and materials are current and consistent.
- Serve as a critical partner to DOs and GMs for respective brands to support all hiring-related inquiries.
HRIS/Reporting
- Ensure accurate, timely rocessing of new hires, transfers, promotions, terms, and LOAs within ADP WFN.
- Track and audit all hiring, changes, etc., to ensure all changes correspond with ADP output.
- Maintain, troubleshoot, and test daily file feeds and review HRIS and ADP systems changes.
- Support Benefits Team during OE with all ADP changes (deductions, annual limits, benefits eligibility, and rule changes).
- Support with annual 401(k) audit, Compliance and Non-discrimination Testing, and EEO filing.
- Partner with Vice President of Human Resources on position creations, FTE, and budgeted hours changes within the HRIS system in line with personnel budgets.
- Set up new depts/cost centers within HRIS and ADP to create locations as needed.
- Support team with ongoing file feed upgrades or enhancements for HRIS/payroll.
- Provide ongoing, standard, and ad hoc reporting to HR, Finance, and Executive Teams as needed.
- Continue to expand knowledge within the HRIS & ADP systems and ways to enhance.
- Partner with Vice President of Human Resources on all general and ongoing initiatives, projects, and rollouts.
Required Knowledge & Skills
- Expert HRIS and multi-state Payroll experience using ADP WFN required.
- Minimum of 5 years of HR experience in Payroll Administration, HRIS, reporting, and data analysis.
- Systems and reporting savvy (Excel proficiency required).
- Possess superior organization, attention to detail, analysis, and metrics orientation.
- Must be solution-oriented, able to conduct research, and make HR recommendations.
- Self-directed, highly motivated, and able to work well within a team and individually.
- Superior project management skills: ability to multitask and manage deadlines.
- Demonstrate flexibility and openness to change in alignment with organizational goals.
- Excellent oral, written communication, and interpersonal skills.
- Prior experience in the Hospitality or Restaurant industry preferred, but not required.
- MS office proficiency in Word, Excel, PowerPoint, and Outlook.
- Strong systems knowledge, including the ability to quickly learn new systems.
- Ability to prioritize and achieve long-term and short-term results.
- Comfortable managing multiple and simultaneous tasks under short timelines.
- Must have a good understanding, desire, and ability to delve further into cross-functional issues.
- Excellent Customer Service skills to support our populations.
- Bachelor’s degree in Business, Human Resources, or related field.
- Prior Hospitality industry experience preferred but not required.
- Proven experience as a Payroll Analyst, Payroll Administrator, or similar role
- Knowledge of state and federal payroll and tax regulations
- Hands-on experience with ADP WFN required.
- Familiarity using Excel and spreadsheets; Excellent analytical skills
- The ability to work under tight deadlines.
