Job Summary:
We are seeking a versatile individual to fulfill a role as an Administrative Assistant to the Chief Operating Officer (COO) of our healthcare organization. This is an in office role.
Responsibilities:
Administrative Assistant to the COO:
Manage the COO's calendar, appointments, and meetings, ensuring efficient scheduling and coordination.
Prepare correspondence, reports, presentations, and other documents as requested by the COO.
Assist in organizing and coordinating meetings, conferences, and special events.
Handle incoming calls and emails, responding or redirecting them as appropriate.
Maintain accurate records and files, both electronic and physical, ensuring confidentiality.
Conduct research and compile data for various projects and initiatives.
Oversee the smooth functioning of the COOs office, maintaining supplies, equipment, and inventory, handling incoming and outgoing mail, packages, and deliveries. .
Support in HR tasks and payroll including verifying employee timesheets, calculating wages, and ensuring accuracy of payroll records
Assist with HR tasks such as maintaining employee files, processing new hire paperwork, and coordinating benefits
Assist in the credentialing process for healthcare providers, ensuring compliance with accreditation standards and regulatory requirements. Collect and organize credentialing documentation, communicate with providers and credentialing agencies and track credentialing status updates.
Qualifications:
Proven experience as an administrative assistant or similar role.
Proficiency in Microsoft Office suite (Word, Excel) and office management software.
Excellent organizational and time management skills, with the ability to prioritize tasks.
Strong communication and interpersonal skills, with a professional demeanor.
Attention to detail and ability to maintain confidentiality.
