What You Will Do:
This position ensures that the payroll functions on assigned units are completed accurately and timely following payroll policies. In collaboration with the Director/Manager assists with the development and distribution of assigned unit schedules and ensures that the automated scheduling is accurate and up to date. Notifies appropriate departments of staff status changes and completes on line transactions forms. This position serves as a resource to management and staff regarding payroll policies and the use of Kronos and ShiftWizard system.
Duties include:
Assist management with utilization of the manpower budget on all assigned units. Employee paychecks are accurate. Payroll is completed in a timely manner. Payroll codes are accurately entered in the computer, ensuring that utilization of accrued time is correct. Assist Director/Manager with correctly following all payroll policies. Maintains department attendance records and notifies Director/Mangers of variances. Monitors unit and individual overtime and keeps Director/Managers aware of acceptable variances. Tracks secondary positions to ensure payroll is accurate.
Staffing and scheduling accountabilities: Assist scheduling committee to ensure unit schedule is posted to staff two weeks in advance. Communicates with scheduling committee regarding approval of requests and availability of PTO. Makes ongoing changes on the schedule. Responsible for assisting to cover call-ins or increased required staff needs. Proactively assists with covering staffing shortages on the schedule. Readily contacts staff by phone, email, text or other automated systems. Tracks scheduling weekend make-up requirements & notifies scheduling committee/managers as appropriate. Responsible for maintaining accurate ShiftWizard schedules. Assists scheduling committee with unit scheduling guidelines (weekends, holidays, and undesirable days/shifts.)
Human Resources functions: Communicates with Human Resources and Recruitment necessary information regarding change of status, retirement, termination, promotions, performance evaluations, via a transaction. Following Directors input uses Jobvite to create requisitions. Maintains current position control records based on approved budget. Resource to staff on Policies/Procedures regarding staffing, payroll and benefit accrual and utilization and assists staff with Lawson and benefit management. Assists with notification of staff regarding license renewal dates and TB requirement dates. Maintains degree/certification information. Maintains trial employment list and sees that completed forms are sent to Human Resources. Documents in-services education in automated system.
