Requirements

Position Overview

As a Client Service Associate, you will work collaboratively with the advisory team in a client-focused environment. This role requires frequent communication with our Wealth Advisors, clients, and custodians. The Client Service Associate will mostly serve our Business Owner team, which provides company retirement plan services through Advanced 401k Solutions and serves our small business owners through a unique offering, Simplify 365 ™ The ideal candidate has exceptional organizational, communication, and problem-solving skills. A successful candidate will partner those skills with knowledge of our business, services, and technology to assist our Wealth Advisors in providing exceptional client experience. 


Work Location: In-person at our Santa Clarita Office

Reports to: Tyler Tilton, Lead Advisor

Key responsibilities include but are not limited to the following:


Client Service: 

  • Schedule and confirm client meetings.
  • Create agendas, templates, and meeting notes for client calls.
  • Assist with the preparation and debrief of client meetings alongside the Advisor Team. 
  • Offer exceptional administrative support to the Advanced 401k Solutions and Simplify365™ teams; including data entry, maintain calendars, report generation, and case management follow-up.
  • Communicate effectively in person, in writing, and verbally with clients, prospects, and others in the organization.
  • Use the firms CRM, Salesforce, to document client action items, manage tasks, and follow-up to action items.    
  • Maintain accurate client information and settings at the custodian and in the CRM system. 
  • Assist Advisor Team with the firm’s annual processes including tax return request and review process.
  • Complete check deposit and log processes.
  • Complete money movement including funds requests, account applications, account transfers, and any other client/account-related tasks needed.
  • Assist in the maintenance of the firm's CRM, Salesforce.
  • Review and respond to emails as necessary and be a positive team member across the practice.

Client Onboarding Processes (COP)

  • Prepare account opening paperwork for the new client onboarding process including custodian forms, financial planning agreements, and investment advisory agreements (IAAs).
  • Responsible for opening new accounts and transferring assets from outside institutions during the COP. 
  • Ensure new clients are fully onboarded with a focus on timeliness and client satisfaction.


Qualifications:

  • High school diploma or equivalent; additional education or certifications in finance, business, or a related field are a plus.
  • Proficiency in Microsoft Office Suite, with a focus on Excel.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Professional and courteous interpersonal skills.
  • Proven experience in a client service or similar role preferred. 
  • Experience using Salesforce or other CRM is a plus.
