Position Summary and Responsibilities
Vassar College is seeking an outstanding Advancement Gift Processing Coordinator as it embarks on a record-setting $500 million Fearlessly Consequential comprehensive fundraising campaign. Gift processing is essential to the success of our front-line fundraising and engagement activities, our campaign's progress, and the vitality of the College's future. Please consider joining us.
The Gift Processing Coordinator reports to the Director of Gifts, Records, and Data Management. The Coordinator is responsible for handling a high volume of confidential financial data, performs the review and analysis of donor gifts and ensures accurate recording of financial and biographical data in the CRM.
Responsibilities:
- Gather gift data from various sources (mail, email, 3rd party tools, etc.). Identify donors, gift purpose, amount of gift, soft credits, tributes, and other pertinent information related to the gift prior to entry.
- Maintain clear and concise communication with advancement services colleagues, and other department members to research and obtain additional information necessary for accurate gift recording and acknowledgment of gifts.
- Enter gifts and pledges into the CRM, make necessary adjustments, and perform associated tasks necessary to download and retrieve gifts from software programs that support online gifts.
- Adhere to strict deadlines following data entry standards and maintain a high level of accuracy and attention to detail.
- Perform processes related to scanning checks to the bank, gift receipts, and storing backup files, both electronic and physical.
- Monitor internal and external emails and respond to gift notifications.
- Monitor and verify matching gifts from organizations.
- Perform biographical data entry as required for the gift entry processing and for designated projects.
- Understand and adapt to changing guidelines and processes as required to enhance or respond to the needs of the department and/or the Finance Office. This may include testing new business processes in the CRM test environment.
- Must be available to work during cyclical peak timeframes, including calendar and fiscal year-ends, reunions and fundraising campaigns.
- Respond to auditor requests annually.
- Other duties as assigned, including projects and attending regularly scheduled meetings.
Qualifications
Qualifications:
- Three years of bookkeeping and/or gift entry experience is preferred. Preference will be given to candidates with experience working with non-profit fundraising gift entry.
- Highly organized with a keen eye for efficiency.
- Ability to communicate effectively with colleagues in Advancement and Finance, as well as a diverse community of alums.
- Desire to be a part of a team that is proud of doing excellent work.
- Ability to learn and follow the required processes of multiple software products.
- Excellent analytical skills and the ability to interpret gift information.
- Enjoy working with data and problem solving.
- Commitment to confidentiality and the endorsement of ethical and professional standards is imperative.
- High-level proficiency with Google Suite and Microsoft Office Suite, and willingness to learn new technology and software applications.
- Ability to perform work with accuracy is essential, especially during cyclical high-volume periods.
- Experience with relational databases, merchant accounts, reporting tools, software programs, or similar is desirable.
