Overview
At Velociti Services a Facilities Coordinator is responsible for reviewing Technician Work Order Services to customer locations and as an administrative assistant to Account Lead. This position will also include additional business functions such as: performing moderately complex accounting activities associated with maintaining a complete and accurate service tracking system. Works under general supervision following clearly defined procedures and policies.
Drives the operational processes for work order management.
Coordinates maintenance repair work orders with site manager and manager assistant. scheduling, follow up, quote preparation, problem resolution, and post-service activities.
Reviews and prioritizes open work orders for follow-up and attention based on age, status, or other factors; performs appropriate follow-up until work order is closed.
Works with Managers or Trade Specialists including vendors on resolution of problems.
Works with Billing and others to communicate customer requirements and to resolve any challenges, issues, or new opportunities.
Works with client and service provider personnel to maintain and troubleshoot system access and usability.
Provides required reporting, data, for assigned client(s)
Conducts periodic weekly calls to discuss any updates, checkups, and basic information sharing.
Inform Service Manager of work progress, customer relations, field personnel relations, material administration and other matters affecting service operations.
Support successful operations consistent with VELOCITI SERVICES policies, programs, procedures, systems and guidelines.
Monitoring and controlling of operatives to ensure completion of tasks to a high standard.
Completing paperwork
Communicating with Line Manager
Training of staff and upkeep of records
Ensuring the time and attendance monitored and completed for payroll.
Asist the project with administration duties not limited to creation of Purchase Orders, Invoice approval, supply ordering ETC
Monitors email workflow to ensure WO has been created and follow ups until is closed.
Other duties as assigned or requested
Qualifications
Required Skills / Abilities:
TWIC Card or ability to obtain
Valid drivers license
Knowledge of CMMS system is a plus
Knowledge of customer service principles and practices
Proficiency with MS Office (Outlook, Excel, Word) and other systems
Validated professional verbal and written communication skills
Familiar and comfortable making outbound calls
Good communication skills both verbal and written
Can work as part of a team as well as working alone
A proactive/can do attitude to work
Candidates must be punctual, trustworthy and have a good eye for detail
Project management or trade experience / expertise useful
Engineering and/or Maintenance related experience/training required
Physical Requirements:
Applicants for this role must be able to:
Able to hear and speak on a telephone.
Close visual work on a computer terminal.
Dexterity of hands and fingers to operate any required computer keyboard, mouse, and other technical instruments.
Able to lift and carry up to 25 lbs.
