Position Summary:
Provide direct administrative support and office management to the Chief Executive Officer (CEO). The Administrative Assistant, CEO works independently completing a wide-range of executive-support related duties, calendaring, travel management, sensitive assignments, projects and reports in a confidential and professional manner. The senior level Administrative Assistant will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, professional, proactive, and efficient.
Major Duties and Responsibilities:
- Provide direct administrative support and office management to the Chief Executive Officer as well as other executives as needed.
- Coordinate calendar, domestic and international travel arrangements (hotel accommodations, car rentals, and other miscellaneous arrangements at destination). Monitor, evaluate travel itineraries and advise measures to reduce cost of fare. Prepare expense reports.
- Handle all business matters with confidentiality, profesionalism, and maturity. Receive various verbal direction and execute on that direction while communicating effectively. Anticipate executive's needs and strategize to meet those needs.
- Organize, coordinate and arrange conferences, group meetings, training sessions, and other events including internal/external board meetings. Attend executive meetings to be accountable to the agenda and attendees.
- Manage the CEO’s calendar using judgment to prioritize and commit the CEO’s time for appointments, meetings, and travel based on an in-depth understanding of the priorities and needs. Manage multiple complex executives’ calendars and adjust or prioritize schedules based shifting priorities.
- Work collectively and collaboratively with other Administrative Assistants to complete cross-functional work and projects. Assist in the orientation of new employees.
- Handle incoming and outgoing telephone calls, incoming and outgoing mails (letters and e-mails), compose, edit and assist internal and external correspondences.
- Collaborate and work effectively with external Customers, Executives, and Assistants, representing Ventura Foods in a professional, mature manner.
Education and Experience:
- Associates degree in business administration or related curriculum; Bachelors degree is preferred or equivalent experience.
- 5 years of experience working as an Administrative Assistant supporting Senior Executive Officers
- Prior experience in food service and/or manufacturing industry preferred.
Knowledge and Skills:
- Proactive, self-starter with excellent judgment, ability to anticipate and respond to shifting executive needs/priorities.
- Ability to exercise discretion and takes a professional and mature approach.
- Excellent oral and written communication, demonstrated ability to work with influence and tact.
- Proven ability to work discreetly with confidential information and situations; great attention to detail and organizational skills.
- Able to multitask, prioritize, work on schedule and within deadlines.
- Work and communicate as part of a team.
- Ability to establish and maintain excellent working relationships with internal staff and external customers.
- Intermediate to advanced knowledge of Microsoft Office software i.e. Word, PowerPoint, Excel, Outlook

- Salary Base Range of $85,350 – $109,780 for Employees Located in California*
- The “base salary range” provided above is a good faith estimate of what we expect to pay for this position. The range provided is for California-based employees as Ventura Foods is required by California State Law to post pay rates. Ventura Foods reserves the right to pay outside of the given range based on a variety of factors including but not limited to: candidate skills and experience, complexity of the job, budgetary factors, and location/geography. Ventura Foods conducts regular reviews of compensation ranges and therefore reserves the right to alter this range at any given time.
