The Associate Director II, Fund Administration is a member of the Office of Business Oversight leadership team, working closely with the Senior Director of Operations to support the client retention strategy and lead the activities of the Fund Administration Team. The Associate Director ensures accuracy and efficiency in the processes and workflow to open the donor-advised funds and process investment account paperwork, continuously identifying areas of improvement. This individual leads the team, creating and executing plans to achieve outcomes, establishing effective and efficient processes, and identifying performance metrics to ensure the provision of best-in-class client experience.
RESPONSIBILITIES
· Provides input on client retention strategy and creates a 3-year functional strategy for fund administration team roles, tasks, responsibilities, and expectations of projects, revising yearly for realignment. Maintains a forward-looking mindset to align the fund administration team for future opportunities. Develops a detailed strategy execution plan, keeps track of progress, and ensures timely completion. Clearly and consistently communicates the team strategy to each associate to ensure alignment.
· Creates and executes process and workflow to ensure effective and efficient deliverables in the opening of DAFs and processing of investment account paperwork, breaks paradigms and solves difficult problems. Leads the fund administration team to ensure performance and deliverables. Evaluates workforce needs to implement objectives and recommends staffing additions and development to meet objectives.
· Working closely with the Senior Director, Operations, consistently identifies opportunities for process, performance, and experience improvement. Embraces continuous improvement culture and holds regular process improvement activities to ensure steady improvements in the account opening and maintenance workflows. Regularly challenges existing methods and utilizes critical thinking and existing technology to find innovative ways to solve complex problems. Ensures the established controlled documents for processes are up-to-date, and each team member is trained accordingly. Creates cross-functional competencies within the team for increased flexibility.
· Owns operational risks and plans for viable contingency for the fund administration team. Tracks performance metrics and reports out the results and the narrative to the Senior Director of Operations on a regular basis. Establishes metrics in alignment with Quality Assurance requirements.
· Leads functional and organizational projects as assigned.
· Performs other responsibilities as assigned by Senior Director, Operations.
QUALIFICATIONS
· Bachelor’s degree required
· Minimum 5 years of professional experience in the financial services industry or a related industry
· Minimum 3 years of leadership experience
· High level of proficiency with Microsoft Word, Excel and Outlook
· Strong leadership skills with the ability to foster a sense of team accountability and high performance
· Strong analysis, critical thinking, and critical thinking skills; able to tell the story with data
· Excellent work ethic and self-motivated
· Ability to work effectively in a fast-paced, results-oriented environment
· Interest in continuous improvement to drive innovation within the organization’s operational strategies
