Position Description: Secretary to the Mayor
The Village of Sag Harbor is now accepting applications for a full-time Clerical position. Applications can be obtained at the Village Office, 55 Main Street, Sag Harbor, between the hours of 9:00 A.M. and 4:00 P.M.
Qualifications:
· Proficiency in Outlook, Word, Excel, and other Microsoft programs.
· Must have strong written and verbal communication skills.
· Must have strong organizational and time management skills.
· Ability to manage and complete projects in a specific timeline.
· Detail oriented, adaptable, and customer service oriented.
Responsibilities include but are not limited to the following:
· Answers phone calls and directs calls to the appropriate individuals.
· First point of communication for office visitors or customers.
· Handles confidential matters with discretion.
· Helps compose letters and memos for Village Clerk-Administrator.
· Writes Proclamations for presentation at Board of Trustee Meetings.
· Helps prepare Agenda and Meeting Packets for all Board of Trustee Meetings.
· Creates Zoom Meeting invitations for Board of Trustees and Regulatory Board Meetings; Posts Dial-in information to calendar on Village Website.
· Processes/transcribes Minutes from Mayor & Board of Trustee Meetings.
· Attends and assists Village Clerk-Administrator with all Board of Trustee Meetings in public.
· Supports the Mayor, Trustees & Village Clerk-Administrator with all work duties necessary.
· Maintains and updates files, contracts, and agreements for Village Hall.
· Manages changes and/or updates on the Village website and Facebook page.
· Keeps an inventory of office supplies and notifies the Purchasing Agent to order new materials as needed.
Salary & Benefits: Compensation commensurate with experience. Comprehensive benefits package includes NYS retirement system, health insurance, vacation, sick and personal days, and paid holidays.
