Branch Administrator

The Maintenance Branch Administrator is responsible for assisting and supporting the Branch Manager in ensuring all operations run smoothly. Responsible for all branch administrative duties. Must provide timely and accurate reporting, data entry, and billing to ensure branch progress to goals are tracked accurately. The ideal candidate must be self-motivated, organized and an excellent communicator.

Responsibilities:

• Daily time entry downloads into company software for payroll
• Processing of new hire and termination documentation to HR
• Maintaining schedule for attendance, personal and vacation time for branch employees
• Accurately invoicing all services performed for the branch.
• Generating reports for Branch Manager as needed.
• Aiding Branch Manager in completing task to meet deadlines including job drill downs and monthly inventory
• Assist Branch Manager in tracking progress on branch budgets.
• Use operating system conforming to company policy including AR, AP, PO, Invoicing etc.
• Process deposits for a job from Salespeople accordingly to company policy and procedure.
• Receive from Sales all job information after contract is signed to correctly open Work Orders in system. Assign one-time projects to Enhancement Manager to start preparing for scheduling and meeting for job review with the team. Assign contract maintenance contracts to Operations Manager for scheduling.
• Drive inventory month end deadlines for completion with Branch Manager
• Act as the liaison between the branch and accounting and HR
• Handles phone calls, emails and other communications that pertain to the branch.
• Perform other incidental and related duties as required working closing with Branch Managers
• Involvement in company snow removal program in winter

Qualifications:

• Landscape experience is preferred, but not required.
• Bachelor’s Degree in business or other industry related field of study or % years of experience in similar field.
• Self-motivated with a professional attitude
• Advanced Microsoft Excel knowledge and skill
• Superior organizational skills with a focus on detail and accuracy
• Computer knowledge and proficiency with Microsoft Office Suite and aptitude for learning new software.
• Excellent written and verbal communication skills with a passion for landscape customer service.
• Bilingual (English/Spanish) a plus

Physical Demands:

• Must be able to lift/carry materials up to 20 lbs. and move about the office and yard.
• Exposure to dust, pollen, chemicals, cold and heat in an external environment
• Requires extended periods of walking, standing, kneeling, bending and lifting up to 20% of the day
• Travel to field required less than 10% of the time.
