We’re seeking a highly motivated and enthusiastic Executive Assistant to support our senior executives. This role requires a ‘can-do’ attitude, always thinking two steps ahead with a friendly and approachable personality. What you’ll be doing:
- Manage calendars for 3 C-level executives and 1 VP's, ensuring all their time is used efficiently and effectively.
- Keep executives on track and abreast of all priorities as well as strategically managing their time.
- Communicate with clientele, investors, board members, scientific advisors, and the internal team.
- Handle correspondence, project documentation, and project updates.
- Arrange heavy domestic and international travel with complex itineraries.
- Prepare expense reports and manage purchase requisitions.
- Organize logistics for team meetings, trainings, lunch and learns, and onsite and offsite events.
- Even planning will be for both local and global events: calendaring, conference settings, reserving locations, catering, setting up / cleaning up.
- Schedule and coordinate complex, multi-step meetings and executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available
- Collaborating on other departmental or ad hoc requests as needed and occasionally covering for other admins.
- Oversee the establishment and setup of satellite offices using shared workspaces as company expands.
- Assist HR and IT teams with new hire onboarding.
- Identify and implement opportunities to build a more cohesive, happy, and productive office culture.
- Support Operations and HR to plan engaging activities, events, and off-sites experiences for employees.
About You
- 4 years of experience as an Executive Assistant in a tech or biotech environment.
- Proficient in Microsoft Office, with aptitude to learn new software and systems (tech savvy a plus!)
- Excellent organizational, problem-solving, and follow-up skills, as well as the ability to effectively handle multiple priorities
- Solutions-oriented mindset with the ability to anticipate needs, learn quickly, and think outside of the box
- You possess a positive, can-do attitude with the desire to take on additional responsibilities in an ambiguous environment.
- Ability to adapt quickly to last-minute needs in a diverse, fast-growing environment and execute tasks in a timely and out of the box manner.
- Exceptional communication and interpersonal skills: highly reliable, responsible, and responsive
- Hands-on, always ready to roll up your sleeves and go the extra mile for the team
- You are an excellent communicator and listener with a balanced and thoughtful approach, who is adept at building trust with others while promoting inclusivity with teams.
- You have a keen sense for organization, office aesthetic, and will commit to providing a calming and cheerful working environment.
