Position Description
The Project Coordinator (PC) is responsible for administering the organization, processing, tracking, and distribution of construction documents, including start-up and close-out docs, subcontracts, PO’s, RFI’s, RFP’s, change orders, budget updates, and other assignments. Overall, the PC helps improve the efficiency of construction projects through document management and control, clear correspondence with internal/external team members and other folks, and timely submission of all pertinent forms/documents.
Essential Functions:
- Assist Estimating with bidding projects (vendor pricing, sub-contractor quotes, etc.).
- Ensures as-builts are provided and filed
- Prepares job-specific O&M’s – collects all compliance documents for closeouts
- Distributes drawing and specification revisions.
- Process and coordinate submittals for review and with subcontractors. Maintains a current log
- Processes RFI’s and maintains a current log
- Enters and processes Subcontracts, Vendor Purchase Orders and change orders
- Reviews invoices for correct coding and information
- Files testing reports, project reports, safety inspections, etc.
- Tracks PCO’s (potential change orders/directives)
- Issues COR’s (change order requests) and CO’s (change orders) to the Owner
- Processes any job-specific documents (i.e.: certified payroll, sales tax requirements, wbe/mbe reporting, etc)
- Assists Project Managers with communication between internal and external project participants, including Owner, Owner’s Representative, Consultants and Contractors
- Receives, date stamps, communicates, logs, files, and tracks shop drawings, samples and product data for projects in construction
- Stamps, logs, and files submittals and red mark drawings; makes copies and distributes to appropriate parties
- Assists Project Managers and Design Staff with project specifications and addenda
- Responsible for project-related filing

Position Requirements
Minimum high school diploma, Associates/Bachelor’s degree is preferred.
