Job Summary

Research Administrators perform professional work with significant levels of independence often supporting the day-to-day management of research portfolios and programs for a central office or one or more departments, centers, or business units. Their decision-making has a significant impact on service delivery. Research Administrators typically report to a senior research administrator, manager, director, or PI. Working titles may include: Research Administrator, Clinical Research Administrator, Contract and Grant Administrator.


Senior Research Administrators possess a more comprehensive knowledge of research administration, management, and compliance distinguishing them from Research Administrators. They are further distinguished by the complexity of assigned work; an ability to identify options and develop solutions for unique or unprecedented situations; greater decision-making authority; and the judgment, resourcefulness, and ability to identify issues and/or areas that should be addressed differently. They typically provide administrative and financial management of the research portfolios for one or more functional units, departments, auxiliary functions, or business units. They are typically responsible for overseeing and coordinating all administrative and financial affairs related to pre and/or post award research management, with responsibility for strategic management of daily operations in addition to project specific responsibilities. The role often has direct and indirect reports. They are resources for others, participating in mentoring, coaching, and training.


 Under the supervision of the Assistant Director of Research Finance, the research billing specialist focuses on post-award activities as related to the CTO.

Job Description

  • Review all non-sponsored claims/invoices for VCU Health System, affiliate/subawards, contractor services as well as vendor services (FedEx, dry ice, etc.) for accuracy

  • Process all non-sponsored claims/invoices for payment

  • Handle purchase order management

  • Manage subject stipend processing

  • Assist faculty and staff with PCard purchases

  • Responsible for ensuring the proper invoicing of patient care costs for clinical trials as well as testing and reviewing for compliance

  • Accountable for initiating, processing, and tracking of all invoices and payments for all research accounts

  • Assist with revenue management/sponsor billing

  • Partner with the Clinical Research Administrative team and VCU Health System finance to strengthen the overall billing accuracy and accountability related to VCU Massey Cancer Center clinical trials.

  • Partner with the Clinical Research Administrator and Assistant Director of Clinical Research Administration to identify and assess procedures for clinical trial billing and collections activities.  The specialist will utilize the Clinical Trial Management System (CTMS) financials to track billable items and be responsible for following up with study teams if billing information is missing or improperly captured.

  • Provide primary support to the Research Administration team with managing of all purchasing functions, to include Purchasing Order creation, expense processing, and liquidation, travel and employee expense reimbursement requirements, and pulling supporting documentation for other research projects, as assigned


Minimal Qualifications

  • BA/BS degree or degree equivalency with 8 years of experience.

  • 3 years minimum experience in research administration, 5 years preferred.

  • Experience with the following systems: eVA, Banner, Oncore, and Image Now

  • Significant clinical research financial and billing experience in an academic/medical setting, or equivalent required

  • Demonstrated experience providing financial services and reporting related to clinical research. Knowledge of FDA, NIH and OHRP regulations

  • Demonstrated working knowledge and understanding of FDA regulations, CFR statutes, and ICH-GCP guidelines

  • Demonstrated working knowledge and understanding of accounting practices and applied GAAP and GAS principles as well as clinical trials management and financial accounting

  • Demonstrated ability to work with detailed financial data and to analyze financial information

  • Ability to communicate professionally with stakeholders at all levels, to include external sponsors

  • Exceptional analytical and organizational skills and the flexibility to handle multiple tasks and deadline pressures

  • Ability to work with individuals from diverse backgrounds

  • Ability to set priorities and to work comfortably in a fast-paced, deadline driven environment

  • Working knowledge and understanding of office administration and clinical research management techniques

  • Demonstrated ability to work independently to foresee and anticipate program issues and to respond appropriately in a timely manner

  • Excellent customer service skills

  • Ability to work in a team environment

  • Ability to prioritize, focus, work independently and be flexible when contingencies arise

  • Proficiency with MS Excel, Word, and Google Suite

  • Accurate data entry, word processing, analytical thinking skills

  • Effective organizational skills, and a strong attention to detail

  • Effective professional written and oral communications skills (i.e. ability to communication with others in a clear and professional manner)

  • Strong interpersonal skills (i.e. ability to work with personnel at all levels to gather information and communicate compliance requirements)

  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.


 Preferred Qualifications

  • Master’s preferred

  • Extensive knowledge of State/Federal and institutional accounting rules and regulations a plus

  • 5 years minimum experience in research administration preferred.

 

Certification/License

Certification in Research Administration preferred.  ACRP/SOCRA (or equivalent) certification preferred.

 

Physical Requirements

Able to perform moderate lifting. Able to sit, stand and walk for prolonged periods of time. Able to read papers and online documents. Able to operate standard office equipment. Able to exercise physical ability and perspective acuity to satisfactorily perform essential job functions.


Salary Range: starting at 48k, commensurate with experience
