Job Summary: The Facilities Supervisor (FS) role is responsible for coordinating multiple aspects of overall facilities operations to ensure optimal functioning of building systems, including mechanical, electrical, fire/life safety and elevators. The FS supports the Director of Facilities (DOF) to achieve department and organizational goals. This role provides hands-on support for Facilities Technicians(s) to provide training, coaching, mentoring and direction, keeping the facilities operations functioning smoothly. The FS will fill in for the DOF as needed and as assigned.
Essential Duties and Responsibilities:
· Supervise Facilities Technicians by training, mentoring, and assigning work.
· Assist DOF in coordinating facilities, facilities operations, repair and preventative maintenance responsibilities, either by completing the work alone or with third party consultants, contractors and vendors.
· Develop and maintain positive working relationships with landlord and/or property management and external service vendors.
· Provide project support to DOF for construction, tenant improvement and remodel/renovation/retrofit projects.
· Develop and maintain positive working relationships with clinic managers and staff to understand needs and resolve issues.
· Ensure professional appearance of buildings.
· Maintain and update facilities operation plans and schedules for all facilities.
· Maintain facilities records/documents archive for all facilities.
· Coordinate workflow for facilities invoices, purchase orders and related accounting documentation.
· Maintain facilities tools, equipment and materials in good order and keep an active inventory of facilities assets and other VGMHC property.
- Perform other duties as assigned.
- Handle protected health information (PHI) in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPAA).

All employees are required to read the content of PHI records only to the extent needed to redirect the information to the proper source or responsible party.

Education and Experience Required
· Associate’s degree or applicable trade license/certification; equivalent combinations of education and extensive work experience may substitute for education.
· Minimum four (4) years’ experience in facilities coordination (in a Federally Qualified Health Center (FQHC) environment preferred).
· Minimum five (5) years’ experience service in vendor management and supervision.
· Experience with building materials, construction, carpentry, plumbing, and diesel mechanics.
