This is a great opportunity to start a career in the hospitality/tourism industry. The Coordinator, Partnership and Tourism provides administrative and operational support for two of Visit Seattle’s focus areas.
As a partner-based organization, Visit Seattle connects more than 700 local businesses, and their products and services, with the lucrative visitor market. The Coordinator ensures all administrative responsibilities for the partnership department are met on a daily basis. This requires heavy use of Simpleview, Visit Seattle’s CRM, an ability to run and analyze customized partnership listings and reports, and professionally communicate with partner businesses.
International tourism has traditionally been Seattle’s fastest growing segment of visitation. In recovering from the impacts of the COVID-19 pandemic, Visit Seattle is quickly rebuilding its presence globally. The Coordinator will provide administrative support of Visit Seattle’s international tourism objectives, which includes frequent client hosting in-market, outbound sales trips or tradeshows, and frequent use of Simpleview as the department interacts with clients and Visit Seattle partners.
What you’ll do:
ADMINISTRATIVE/REPORTING

Maintains Simpleview (CRM) database with contact and listing updates.

Assists with invoicing and collection of monthly partnership dues.

Prepares month-end activities summary.

Inputting of FAM itineraries and outbound show reporting,

Prepares service requests and/or tourism leads.
PARTNER SERVICES

Process new partner applications and assist Partnership Manager with onboarding of new partner businesses.

Oversee Visit Seattle’s trade relationships with assigned partners.

Coordinate weekly email blasts and mailings to partnership via MailChimp.

Train new and existing partners on use of Partner Extranet.

Prepare all partner listings for Visit Seattle publications and manage editing process.

Work collaboratively with Special Events relative to Visit Seattle’s signature and partner events.
INTERNATIONAL TOURISM

Respond to and fulfill service requests from travel trade, including correspondence and mailing.

Support the Director and Tourism Manager on advertising campaigns and tradeshow planning.

Provide presentation and research support, as needed.

Support the department in planning familiarization and media trips (FAMs), including itinerary creation, promotional item preparation and delivery, and administrative recordkeeping.
Who you are:

1-2 years of relevant administrative experience required.

Experience with basic database software, data entry, CRM systems.

Exceptional communication skills, both verbal and written.

Able to effectively manage multiple projects and priorities.

Able to work well with a diverse range of people.

Strong service approach with both internal and external customers.

Proficient in Microsoft Word, Excel and Outlook.

Must be able to speak, read, write and understand the primary language, English, used in the workplace.
