Customer Service Specialist
DEPARTMENT: Customer Service
REPORTS TO: Customer Service Supervisor
SUMMARY: JOIN OUR GROWING COMPANY! Personal Care ingredient supplier is seeking a Customer Service Specialist. The role is based in the Fairfield, NJ facility and largely consists of sales order entry and managing customer communications.
Customer Service Specialist -DUTIES AND RESPONSIBILITIES:
· Respond to customer and distributor phone calls and e-mails related to orders, pricing, samples and document requests.
· Use ERP system (e.g. Netsuite) to create domestic and international Sales Orders, Work Orders, track shipments and communicate with customers and warehouse.
· Review orders received for accuracy and completeness, confirm and/or correct customer orders prior to entering into system.
· Collaborate with customers, sales, procurement, quality, warehouse and other internal teams.
· Comply with all company, departmental and applicable quality system requirements, procedures and policies.
· Work with Customer Service Supervisor to manage short supply situations, backorders and manual allocations as required.
· Notify Customer Service Supervisor for special order procurement needs.
· Resolve service inquiries to the satisfaction of the customer within established company guidelines.
· Coordinate shipping timelines with warehouse team.
· Understand customer buying patterns and reach out regarding forecasts or any noticeable changes.
Customer Service Specialist -QUALIFICATIONS:
· Minimum 3 years experience using an ERP system.
· Minimum 3 years of customer service experience (both domestic and international preferred).
· Must possess good organizational skills.
· Able to work well independently and in a cross-functional team environment.
· Must possess the drive and willingness to provide proactive Customer Service.
· Must have the ability to communicate across various levels of the organization.
· Prioritize workload with flexibility regarding changing priorities and deadlines.
· Work effectively in a fast paced, collaborative, team-based environment.
· Must have experience working regularly with Microsoft office products (Word, Excel, Outlook).
· High School Diploma or GED required; Associate or College degree preferred.
