What are the responsibilities and job description for the Executive Administrative Assistant position at Vogel Consulting?
We are looking for a competent Executive Administrative Assistant to provide executive support to the firm's CEO and administrative support in other areas of company operations.
Essential Duties and Responsibilities include, but are not limited to:
- Proactively maintain the CEO’s calendar and communicate changes or conflicts
- Arrange and communicate all firm-related travel arrangements
- Coordinate client and internal meetings; set up and clean up before and after meetings; organize meals as needed and provide service as requested during meetings
- Collect, compile, record, and reconcile financial data, including credit card and other account statements for CEO
- Perform other personal assistant-type duties for CEO as required
- Maintain accounts receivable records for the firm including verifying invoices and/or reports, finalizing client billing invoices, and recording payments
- Type and/or edit correspondence, memos, reports, etc. accurately and in a timely manner
- Support client service teams with preparation of documents and/or spreadsheets for client meetings and assist with binding of tax materials during peak time
- Answer telephone calls quickly and efficiently with appropriate telephone etiquette and/or transfer callers to appropriate parties or voicemail boxes
To perform this job successfully, an individual should have knowledge of Microsoft Outlook, Excel and Word. Experience with Intuit Quicken and/or QuickBooks (or comparable software) is strongly preferred.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
