Volunteers of America Oregon is seeking an Accounts Payable Specialist to join our growing team. VOA Oregon is a nonprofit providing a range of therapeutic, trauma-informed, and supportive services to empower populations to implement changes and thrive.

The Accounts Payable Specialist processes invoices, verifies approval documentation, and prepares checks for signature and distribution. This position frequently interacts with employees and vendors to ensure accurate and timely processing of outgoing payments. 

Compensation: $19.36 - $22.58/hour. This is a full-time position with excellent benefits! Benefits package includes medical, dental and vision insurance, life insurance, short and long-term disability insurance, 403(b) with automatic 5.5% contribution after 18-months regardless of employee participation, flexible spending account, employee assistance program, and other voluntary benefits and discounts. Generous paid time off plan includes 15 days in the first year, 23 days in the second year, and 26 days in the third year.

Education, Training and Experience:

  • High school diploma or GED required. College courses in financial accounting preferred.
  • A minimum of 1 year of accounts payable experience.
  • Strong understanding of applicable accounts payable and general ledger systems and procedures, financial chart of accounts and business procedures, and basic knowledge in accounting principles.
  • Experience with Sage Intacct accounting software preferred.

  • Ability to perform mathematical computations, such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately.

Additional Eligibility Requirements:

  • Successfully pass a background check.
  • Reliable form of transportation.
  • COVID-19 Vaccination Requirement: To protect the health and safety of VOA Oregon clients and employees and to be compliant with local, state, and federal mandates, VOA Oregon requires employees to be fully vaccinated against COVID-19 or have an approved medical or religious exception as a qualification of employment. Candidates who receive an offer of employment must provide proof of vaccination upon hire or submit an exception request and have their request approved prior to their start date.

Essential Duties and Responsibilities:

  • Review all invoices for appropriate documentation and approval prior to payment.
  • Prepare invoices for payment with appropriate cost center and general ledger codes.
  • Process check requests.
  • Process weekly and off-cycle check runs (payment disbursements) - in-office required.
  • Process employee reimbursement requests.
  • Match invoices to checks, obtain all signatures for checks, and distribute checks accordingly.
  • Form 1099 review, maintenance, and distribution (also W-9 maintenance and annual 1096); electronically file 1098-C for vehicles with IRS annually.
  • Respond to all vendor inquiries.
  • Reconcile vendor statements, research and correct discrepancies.
  • Assist in month-end closing by preparing accrual for unrecorded liabilities.
  • Maintain A/P paper and electronic files and documentation thoroughly and accurately, in accordance with company policy and general accounting practices.
  • Prepare and make routine bank deposits; maintain accurate and complete electronic and/or paper record of bank deposits and supporting documents; disseminate deposits information to various stakeholders for proper coding of cash receipts.
  • Data entry of vouchers into the accounts payable module and run closing reports; edit reports for errors and prepare any adjusting entries.

Environmental Conditions:  This position typically works full-time in an office environment. Due to COVID-19, this position is currently working a hybrid schedule with 10-15 hours/week spent in the office, located in SE Portland, and the remainder working from home, with the possibility of returning to the office environment, full-time, or alternating office and remote work. This is based on operational needs and guidance from State and local officials. 

Schedule:  This is a full-time position, Monday – Friday, 40 hours/week. Additional hours may be required as needed.
