Job Responsibilities/Duties
Washington River Protection Solutions (WRPS) is the tank farm operating contractor at the Hanford Site located in Richland, WA. The WRPS mission is to safely store, retrieve, and treat 56 million gallons of legacy radioactive and hazardous waste. This complex mission spans all competencies of engineering/science accomplished through a highly integrated organization engineering organization. WRPS was identified as "One of America's Safest Companies" in 2020; and was the recipient of the 2021 "Employer of the Year" by the Association of Washington Businesses.
The Executive Assistant will execute complex, business-sensitive, and proprietary duties with discretion for the Environmental, Safety, Health & Quality (ESHQ) management and staff in accordance with administrative policies and procedures.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion. Independently manages multiple tasks and responsibilities with competing priorities and deadlines, screens and prioritizes communications from external and internal sources, and organizes and maintains administrative processes.
Prepares and issues quality and timely correspondence, reports, and presentation materials to ensure products contain zero defects before delivery.
Prepare internal and external correspondence, proofreading, routing for concurrence and signature, and submitting to Correspondence Control for input into the system.
Communicate with a variety of audiences to support operations of the organization, including: answering telephones, message taking, greeting visitors, clients, staff, and management.
Schedule appointments and coordinate departments and/or managers interface with other company organizations, clients, and external groups.
Maintain working relationships with management, staff, and other administration within the organization and the company.
Take action authorized during manager's absence and use initiative and judgement to see that matters requiring attention are referred to delegated authority.
Prepare business travel requests, make travel arrangements, and prepare requests for reimbursement of travel and other business expenses for ESHQ Manager. Manage and update ESHQ Travel / Training spreadsheet and track spending.
Prepare meeting agenda and packet handouts on a weekly basis for management meetings as needed. Attend meetings and take notes as needed.
Perform customary administrative duties including maintaining calendars, answer telephones in managers absence, schedule meetings, reserve conference rooms, update Organizational Charts, track M&M funds allocations/spending, update Property Management as needed, order and maintain office supplies, all while working under minimal supervision.
Point of Contact for office equipment and cellular phone users, updating and maintaining an extensive spreadsheet tracking changes and additions on a monthly basis.
Compile draft of Monthly Report and perform final editing after review of management as requested. Distribute report(s) and post to website as required.
Assist with scheduling/updating of training for ESHQ. Assist other ESHQ Admin Staff on an as-needed basis.
Back-up to Building Facilities Manager for issuing office keys, new hire set-ups, moves, update floor plan drawings, building proxy access, temp badging and other general facilities duties.
Maintains knowledge of safety policies and procedures and performs assigned duties in a safe manner. Supports update of Employee Job Hazard Task Analysis (EJTA) for ESHQ Manager as needed.
Operate standard office equipment such as computers, printers, laminating machine, scanners, copy machines, calculators, shredder, etc. Proficient use of site standard computer software.
The successful candidate will have advanced administrative decision-making skills, secretarial skills and diligent follow-up skills and possess strong communication skills and be able to communicate with personnel, management, support organizations, ORP, DNFSB staff, regulators, and stakeholders.
Required Qualifications
Grade 08
High School Diploma or equivalent and ten (10) years related experience or a combination of education and experience
Grade 09
High School Diploma or equivalent and ten (10) or more years related experience or a combination of education and experience
Note the essential duties for this grade level are like that of the previous grade level, however the scope of responsibility is larger, and the expected level of performance is increased.
Desired Qualifications
Experience with WRPS ESHQ policy and procedures.
Proficient in Microsoft Office Suite and Adobe Acrobat.
Excellent written and verbal communication skills.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Previous experience supporting executive level management.

Hiring Range Minimum: $63,213
Hiring Range Maximum: $79,738
Grade 09:
Hiring Range Minimum: $69,625
Hiring Range Maximum: $87,775

In accordance with the company's philosophy on compensation for exempt and salaried non-exempt employees, WRPS takes into consideration a variety of factors when determining initial salary to include assigned job scope and responsibility, a candidate's qualifications as compared to internal comparators performing in a similar role, and the external labor market. A salary offer will be made within the targeted hiring range posted. Note a candidate's prior salary history will not be taken into consideration.
