Service Clerk
Job Responsibilities
· Supply Technicians with all required parts & put them on the Work Orders
o Assist Technicians in determining the required parts (creation of Pick-Lists)
o Confirm Parts on Tech generated Pick-Lists
o Pull parts from stock, order parts from the suppliers &/or transfer from other locations
o Return parts not used in a repair to stock & remove from the Work Order
o Locate and distribute parts in the morning from Machine Down & Stock Orders
· Open Work Orders & maintain control until closed & invoiced
(Customer, Internal, Warranty, PIP & Monthly)
o Preview all Work Orders when Technicians have completed the work & Signed-Off
§ Confirm all Work Order Details (customer name, equipment, tag number, serial number, machine hours, work order status & G/L account).
§ Confirm that all Parts have been put on the Work Order
§ Enter all applicable Misc Charges (Service Accessories, EPA charges, Diagnostic Hook-Up Fee, etc, etc) on the Work Orders
§ Review all labor entries for accuracy & round-up the total hours to the next quarter hour
§ Forward all Work Orders to Service Mgr to be closed
· Maintain Technician time in PFW
o Print & review Scan History daily, for previous day & forward to Service Mgr
o Determine that the Techs were on the correct Work Order
§ Make Service Mgr aware of any questionable entries
o Assist Service Mgr with correcting Technicians time as needed
o Record all absences on the appropriate Monthly Work Order
§ Holiday/Vacation
§ Sick/Personal
§ Non-Paid Absence
o Post Technician time to the Payroll Worksheet
o Make sure Technicians are being productive and not just “riding the clock”
§ Compare actual time to the SJP/MST or estimated time on the Work Order
o Record time for non-IntelliTech Service employees
· Submit all;
o Machine Warranty, PIP claims & Part Warranty
§ Follow-up on & correct New & Returned claims
§ Re-file claims where necessary or invoice the customer for non-warranty repairs &/or parts
§ Work with Warranty Administrator to confirm appropriate payment on all claims & reconciliation of the 105 Warranty Receivable account
· Maintain the Warranty Parts Bin
· Process all Warranty Part Return requests
· Track PIP Register for timely completion of jobs
o Open Work Orders as needed
o Order PIP Kits
· Work with Admin Staff to reconcile the John Deere Statement
· Enter Product / Warranty Registration
o Stihl
o Honda
o Lowe’s / The Home Depot
· Code and charge-out all Outside Labor & Materials
· File Overages/Shortages in JDMINT
· Return all e-Crates & Shipping Stands (Planter & Tillage)
· Process Core Returns generated thru the Service Dept
· Answer Service / Parts calls & direct to appropriate personnel
o Field internal and external customer inquiries to the service department
o Take customers calls, determine estimated repair schedule & dates, as well as pick-up & deliveries
· Maintain all parts/service program updates
o Maintain current knowledge of financing options for the sale of both parts & repairs
· Promote & sell pre-season/PerforMax Inspections
· Maintain Service Department files & records
o Special Tools
(Service Advisor update on all laptops)
· Assign Inventory Tags/Numbers – New & Used goods
· Update Maintenance Agreement spreadsheet on the Intranet
· Maintain Service Accessories / supplies &make replacement orders as necessary
· Participate in all job-related training and development
· Maintain a working relationship with TCSM and assist with audits
· Fill in as service manager
o Assign Techs to jobs
· Mass Channel
o Enter Lowe’s / The Home Depot PDIs & track payment
o Complete the Follow-up After the Sale process & track payment
Job Type: Full-time
Pay: $35,000.00 - $65,000.00 per year
