The Director, Operations and Administration - Charlotte advises the Associate Vice President on all aspects of fiscal, administrative, and operational affairs and provides clear guidance and communication consistent with the AVP’s and Vice Dean’s vision and strategic goals.

This position will report directly to the AVP, Operations and Administration for Undergraduate Medical Education and will collaborate with other Wake Forest University School of Medicine (WFUSM), Atrium Health and Atrium Health Wake Forest Baptist Health leaders, to implement a vision and strategy for the collective academic enterprise with defined goals and outcomes that encompasses measures of justice, equity, diversity, and inclusion. The candidate will be a team player focused on using data for the greater good of the Wake Forest University School of Medicine – Undergraduate Medical Education (UME) program.  

Minimum Requirements:  

  • Bachelor’s degree.
  • Minimum 10 years progressive experience leading to management/direction of education administration, project management, operations, and/or finance.
  • Knowledge of accounting practices, managerial finance, budgeting, and financial analysis.
  • Record of accomplishment in strategic and financial planning, preferably in new organizations or those undergoing change; strong business acumen, and judgment.
  • Broad leadership and management experience, preferably in a highly complex, research-intensive higher education setting, including an academic medical center.
  • Proven ability to motivate and manage teams, build strategic relationships, work and negotiate with a broad range of constituents, mediate competing interests, and lead through influence as well as through direct authority.
  • Demonstrated ability to provide critical conceptual and strategic thinking to important financial, academic, operational, and administrative issues across a complex organization.  
  • A record of accomplishment working effectively with faculty and institutional administration. 
  • High energy, team-oriented, customer-focused with a passion for excellence consistent with WFUSM’s culture and core values and operating with the utmost integrity.
  • Politically savvy, able to successfully navigate a complex academic, clinical, research organization with multiple internal and external stakeholders, leading through influence and with transparency to gain trust and credibility.

Essential Functions: 

  • Manage all financial operations including strategic multi-year planning, forecasting, budgeting, accounting, financial reporting and variance analysis, financial risk assessment, and capital planning.
  • As a member of the WFUSM leadership team, work with the AVP to champion strategic planning efforts, collaborate with faculty leadership and senior department heads to assure alignment of clinical, academic, research, and administrative efforts, as well as deployment of resources, consistent with WFUSM-CLT’s goals, objectives, and finances.
  • Lead planning associated with physical resource needs, and construction and renovation initiatives.
  • Develop and oversee strategic initiatives for the WFUSM UME program on the CLT campus. 
  • Oversee program/outcome assessments, business continuity, and risk/compliance assessment and planning; advise on strategic operating decision-making and tools to measure and evaluate performance.
  • Provide leadership in building community and communication among all WFUSM-CTL’s populations and represent WFUSM-CTL on multiple committees. 
  • Facilitate and nurture strategic relationships across the University and greater WFU community, and with other medical schools, advancing WFUSM’s brand and reputation.
  • Foster a team-oriented, customer-focused culture committed to professional excellence and accountability, and an inclusive workplace culture where diverse backgrounds, styles, abilities, and motivations are welcomed.
  • Partner with senior leadership on the development of annual and long-term operating and capital budgets.
  • Work closely with the Vice Dean, AVP and other leaders to plan and implement philanthropic partnerships and activities.
  • Lead, mentor, develop, and retain a high-performing team.
  • Continually assess, evaluate, and improve departmental structure and operational processes.
  • Encourage professional development for self and team, keeping abreast of best practices.
  • Represent the Vice Dean and AVP throughout a broad range of programs, committees, meetings, and complex issues.  Identify issues that require cross-functional input and participate in the evaluation, analysis, and coordination of strategies, project management, decisions, and outcomes.   
  • Proactively collaborate with key leadership and provide input into strategic planning.  Independently anticipate needs while seeking, evaluating, and proposing innovative and productive strategic solutions for consideration by WFUSM leadership.   

Specific Job Duties: 

  • Plan and manage the WFUSM-CTL’s budget; conduct overall operations.
  • Leverage the data as a resource for informing decisions, advancing education, supporting research efforts across the academic enterprise, and with accessible for the Wake Forest University School of Medicine. 
  • Work with departments to collect and curate additional data, as needed, related to justice, equity, diversity, and inclusion initiatives and community engagement efforts.  
  • Partner with the Office of Institutional Effectiveness to implement and sustain a climate assessment strategy and methodology that discloses the lived experience from multiple identity and/or background perspectives including race, gender identity, sexual orientation, socioeconomic status, disability, faith, etc. 
  • Lead teams that determine and implement strategies for ensuring an optimal learning environment. 
  • Demonstrate and uphold Atrium Health’s Culture Commitments. 

Preferred Requirements:  

  • A superior relationship manager who is able to engage and coalesce numerous constituencies and build alliances and partnerships in implementing innovative solutions.
  • An active listener with high “EQ” who is open to and shares new concepts and ideas, synthesizes complex situations, provides clarity and illumination to others, and can facilitate and negotiate.
  • Exceptional communication and presentation skills with genuine comfort in a front-facing leadership role.
  • Highly organized and self-directed, able to develop comprehensive short- and long-term strategic and operational plans from mission objectives.

Work Environment:

  • Onsite Charlotte campus and the Winston-Salem campus as needed
  • Each teammate has the responsibility to work in a safe manner. 
  • Work requires frequent moving from one area to another, coordinating, and communicating with persons in various disciplines and agencies. 
  • Frequent walking, standing and climbing may be required.
