Position Overview

The Trade Compliance Coordinator is responsible for ensuring that the company’s import and export activities adhere to US and international rules and regulations.  They will work with forwarders and brokers to prepare, process, or review documents associated with international shipping.  Additionally, they will maintain active communication with key stakeholders to ensure compliance with procedures related to the company's compliance program, and in adherence with U.S and international laws and regulations. 

 

Essential Job Functions

  1. Determine the correct tariff codes and export control classifications for goods.
  2. Conduct screenings against restricted party lists (e.g., Denied Persons List, Entity List) to prevent transactions with prohibited entities.
  3. Ensure compliance with export control laws, such as the Export Administration Regulations (EAR) and International Traffic in Arms Regulations (ITAR).
  4. Create and maintain accurate export and import documentation, including invoices, packing lists, and shipping instructions.
  5. Ensure import compliance, including valuation, duties, taxes, and customs requirements.
  6. Evaluating potential risks related to trade activities and proposing mitigation strategies.
  7. Maintain accurate records of trade transactions and general compliance activities.
  8. Participate in internal audits to assess compliance processes and identify areas for improvement.
  9. Provide training to employees on trade compliance policies, procedures, and best practices.
  10. Work with various departments (such as legal, logistics, and sales) to ensure consistent compliance across the organization.
  11. Support investigating related to potential compliance violations/reporting incidents, and work with Leadership to implement corrective actions and reporting as needed.
  1. Collaborate with suppliers, carriers, and third-party logistics providers to establish strong working relationships and ensure compliance and effective support.
  2. Monitor international shipments and the customs clearance process to mitigate delays and other international shipping related issues.
  3. Identify areas for process improvement within the export and import function and propose and implement effective solutions to enhance efficiency and compliance.
  4. Assist with arranging transportation and effective routings for international shipments.
  5. Stay abreast of regulatory changes or other potential business impacting issues that may arise proactively communicate with stakeholders.
  6. Drive/support cost reduction/avoidance initiatives related to international shipping, to include VAT avoidance and duty deferment.

 

Non-essential Job Functions

  1. Attends international logistics and trade compliance seminars to acquire and further develop a strong understanding of the current logistics arena and to increase analytical logistic skills.
  2. Works offsite at times and attends non-standard hour Teams / conference calls with other Waldom associates working in other regions/countries (Asia & Europe).
  3. International travel as needed.
  4. Interacts closely with all Waldom departmental Managers, Supervisors and Executive Leadership


Requirements

  1. 2 years of experience in export/import administration and compliance.
    • Professional certification in Export/Import controls and regulations, EAR/ITAR, as well as the USHTS is plus.
  2. Proven track record in coordinating import and export administration and compliance.
  3. Analyze and interpret global export, import regulations, and maintain current knowledge of changes.
  4. Monitor compliance activities and the effectiveness of internal controls.
  5. Understanding of international and shipping regulations and customs procedures.
  6. Working knowledge of global commodity classifications and export controls.
  7. Proficiency in using US Customs tools and databases; AES, BIS, CBP searches, Entity lists, etc.
  8. Excellent communication and interpersonal skills to liaise effectively with internal teams, vendors, and customers.
  9. Excellent command of the English language.

 

Other Skills/Abilities

  1. Highly organized, detail-oriented, and capable of handling multiple tasks simultaneously.
  2. Can adapt to changing priorities and work in a fast-paced environment.
  1. Proficient in Cetec, MS Word, Excel, PowerPoint, PowerBI. Able to create and lead professional presentations.
  2. Professional communication skills.
