Accounts Payable & Accounts Receivable Associate

Overview:
Wangard Partners is seeking an energetic, self-motivated individual to fill the part time role of AP/AR Associate.  This position will report to the Controller and can work a flexible schedule up to 40 hours a week.  A great candidate would be able to prioritize tasks such as tenant invoicing and accounts receivable, vendor invoice processing and payment, and manage banking transactions.  Wangard is a growing development and property management company. Essential Duties:
Vendor invoice processing
  • Manage invoices received through accounting email.
  • Ensure that all invoices are entered into Yardi and routed to appropriate parties.
  • Manage and submit employee expense reports weekly and route for appropriate approval.
  • Follow up to make sure that all monthly and quarterly debt invoices are received.
  • Mail signed checks with appropriate back up to vendors weekly.
  • Ensure that all back up documents are scanned into the accounting system with each invoice.
  • Assist with management of vendor COI compliance to include insurance coverage and W-9’s.
  • Annually, collect and save all real estate tax bills and insurance invoices for the year (installments) and enter into system using appropriate accounting dates.
  • 1099’s – work with Controller to generate all 1099’s by IRS deadline.
  • Assist with setting up of Vendor Cafe
Banking
  • Assist with new bank account set up as directed.
  • Assist with Depositing all checks received weekly.
  • Download bank transactions daily basis (on-line banking) and record appropriately.
  • Record all outstanding deposits and charges daily.
  • Run all bank statements monthly and download to accounting file.
Accounts Receivable
  • Manage intercompany billbacks to include credit card charges, certified mail, copies, charges owed between companies, billings to 3rd party managed buildings.
  • Mail/email monthly rent invoices to tenants.
  • Run tenant rent roll monthly.
  • Generate tenant statements.
  • Accurately maintain tenant ledgers for each assigned property.
  • Run Wangard Partners Inc Accounts Receivable report and follow-up on collections.
  • Assist with setting up Commercial Cafe
EDUCATION AND EXPERIENCE:
The position will report directly to the Controller.  The following describes the ideal experience and attributes a successful candidate will offer:
  • Required education equivalent to an associate degree.  Equivalent work experience accepted.
  • 1 year AP/AR work experience preferred.
  • Above average mathematical skills required to include the ability to add, subtract, multiply, and divide.
  • Strong computer skills, including fluency in Microsoft Office applications to include Word and Excel.
  • Experience with Yardi a plus.
  • Experience with general ledger coding a plus.
  • Exceptional written and verbal communication skills, including ability to articulate concerns in a concise and timely manner.
  • High degree of detail orientation and conscientiousness concerning the timely completion of assignments.
  • Desire to take ownership and responsibility for work product.
  • Responsive team player with the ability to quickly prioritize among numerous pressing tasks.
  • High degree of credibility and confidentiality.
  • Exceptional work ethic.

Physical Demands
Physical demands include the ability to lift 30 pounds.  The employee will be regularly required to sit; stand; walk; reach using feet, legs, back, arms and hands; talk and hear.  The employee may occasionally be required to climb.  The employee will be required to work at a personal computer and talk on the phone for extended periods of time.  Must possess the ability to detect auditory and/or visual alarms and be available to work extended/flexible hours and weekends, as needed. 

Attendance/Travel
This position is a full-time hourly position.  This position is required to be in the office 3 full days each week. This position also requires regular attendance and active participation/planning at all company functions and events.
