JOB DESCRIPTION
Position:
Accountant – Payroll Tax Preparer
Basic Function:
To manage monthly and quarterly write-up, sales tax and payroll functions, assist with the management of new account setups and delegate and perform functions as demand dictates and make sure all deadlines are met. Daily communications with clients to coordinate and schedule the receipt of necessary information. Work with staff to train them in the most efficient use of software to upload information to decrease preparation time and reduce errors.
Scope of Work:
- Take in client work, update practice system for receipt of project information, maintain customer database with most current data and help create report of scheduled weekly work for all staff members.
- Train and oversee bookkeepers on entry and reconciliations, prep for sales and payroll filings, as well as any and all correspondence with clients.
- Train staff on billing procedures as needed, review billing reports on a monthly basis with Office Manager & CPA.
- Organize write-up, payroll, and sales tax assignments from drafting engagement letters to communicating information needs and performing assigned work. Meet with clients to address unusual transactions and review abnormalities with managing CPA. Help develop and adhere to project budgets.
- Perform bookkeeping and tax work per assigned client’s needs and scheduled engagements.
- Monitor client’s performance, make recommendations for improving systems and bottom line. Handle any tax notices that may be received on client’s accounts.
- Review and correct financial statements on a monthly basis.
- Review and oversee Bookkeepers tasks and work output, through the use of monthly checklists as provided by each.
- Proof all payroll & sales tax filings.
- Perform and assist with Mid & Annual reviews, using end of year checklist.
- Apply for client tax accounts at state and local level.
- Maintain Client Work Schedule.
- Update engagement letters annually for use in these assignments and ensure all work is contracted.
- Review client calendars and/or past filing habits to schedule project work.
- Work with Office Manager to help maintain Practice Database to best track upcoming projects and in- house work requiring completion. Note lagging projects and work with CPA Manager to overcome delays.
- Follow-up on receipt of information pending from clients to complete their assignments. Request assistance from Administrative Assistants when demands are high.
Principal Accountabilities and Interactions:
- Phone calls and emails are answered promptly and handled in a professional manner
- Interact with clients, staff, vendors and management.
Authority Level:
Make suggestions to staff and management for improved systems/procedures. Make decisions regarding client communications and communications with tax authorities, client company setup and accounting treatments, and other client management needs.
Reports to:
Directly to Managing CPA and coordinates office systems and client management needs with Office Manager. Interact with CPA’s to finalize special tax research as needed to concur on client projects.
Job Type: Part-time
Pay: $35,000.00 - $50,000.00 per year
