POSITION TITLE: Professional Development Assistant
REPORTS TO: Assistant Executive Directors of Professional Learning
POSITION OVERVIEW: Serves as an integral member of WASA’s highly collaborative professional learning team. Supports WASA and WASA affiliates with full cycle event preparation. Maintains database of WASA and affiliate membership, professional learning, and event registration and invoicing. This position involves in-person and remote work responsibilities.
ESSENTIAL FUNCTIONS:
Develops conference/workshop registration tools
· Enters event information in database and WASA website.
· Synchronizes event with website for online registration.
· Enters and/or tracks and reports event registrations for participants and exhibitors.
· Prepares invoices for events and membership including WASA and affiliate organizations.
· Builds email templates including editing and uploading images and photos.
· Creates mailings using Informz web software.
· Maintains and updates web content leading up to and throughout event.
· Maintains website event calendar.
· Monitors registration data and reconciles records with accounting department.
· Responds to registration, membership and professional learning calls and email inquiries.
Event preparation, onsite support, and follow-up
· Prepares event name badges, rosters, and clock hour forms.
· Confirms onsite supplies and updates computer software on registration and presentation computers.
· Assists participants and event coordinator(s) as needed.
· Prepares exhibitor packets.
· Prepares special meal tickets and communicates with impacted individuals and event center staff as needed.
· Staff registration table as needed.
· Distributes evaluations and prepares summaries.
· Prepares final event reports.
· Tracks event corporate sponsorships in Microsoft Access database.
Maintains memberships for WASA and Affiliate Organizations
· Maintains contact information in database, sets up billing records and invoices.
· Sends new WASA membership letters, thank you letters, and membership packets.
· Prepares membership packets.
Primary responder to general incoming phone calls. Establishes reason for calling, resolves issue or transfers call to appropriate individual, and/or records and delivers messages.
Provides direct support to Assistant Executive Directors of Professional Learning.
OTHER DUTIES:
· Prepares professional education advisory board letters.
· Assists other staff as may be required for the purpose of supporting them in the completion of their work activities.

· Ability to communicate professionally, establish effective working relationships, maintain confidentiality, and work as an integral member of the WASA team
· Experience using Microsoft Office programs including Outlook, Word, and Excel and Google Documents required
· Knowledge of basic relational database concepts
· Working knowledge of iMIS and Microsoft Access databases
· Minimum of 3 years of experience developing and/or coordinating professional training and programs, experience working with K-12 administrators preferred
· Knowledge of contracts preferred
· Experience using Crystal Reports, Adobe Photoshop, Informz (email marketing), Adobe Form Central preferred
· Ability to create SQL queries preferred
· Knowledge of basic accounting/bookkeeping principles preferred

FAIR LABOR STANDARDS ACT (FLSA) STATUS: Non-Exempt
