What are the responsibilities and job description for the HDM Administrative Assistant position at Wasilla Area Seniors?

MANDATORY: Applicants must be able to pass a Federal Background Check and pass a pre-employment drug test to include marijuana. No exceptions.

Summary of Position:

The Home Delivered Meals Coordinator will work closely with the Home Delivered Meals Drivers and the Senior Services Coordinator to see that the Nutrition Program consumers’ needs are met, within the compliance of WASI, State, and Federal policies, procedures and regulations, while ensuring timely and accurate statistical data collection and reporting.

Responsibilities and Duties:

· Adhere to and clearly articulate the mission and core values of WASI.

Statistical and Congregate/Home Delivered Meals Administration

  • Prepare and print daily Home Delivered Meals driver route sheets.
  • Coordinate changes in daily route sheets and meal needs between the Senior Services Coordinator, clients, and meal delivery drivers.
  • Enter changes to daily route sheets, meal needs, and consumer information in SAMS.
  • Maintain and compile all confidential backup material for SAMS program data entry.
  • Enter completed daily data for Home Delivered Meals and Congregate Meals in SAMS and excel worksheets.

· Prepare various Excel and SAMS financial and administrative reports for Grant Reporting and Medicaid billing.

· Act as SAMS data entry backup for other WASI programs.

· Assists the Operations Director to supervise & train HDM drivers

· Works with Nutrition Program Manager to ensure coverage of all daily routes and meal delivery due to schedule disruptions. May act as backup meal delivery driver as necessary.

General Administrative

· Responsible for various statistical daily and monthly sign in sheets – keep stock on hand, distribute appropriately, and compile data when completed.

· Prepare outgoing mail and deliver to on-site mailbox or local post office as needed.

  • Use of general office machines - computer, fax, copier, calculator, cash register, postage meter, multi-line telephone.
  • Other duties from Admin/Acct Task list as assigned.

Qualifications, Skills and Abilities Required:

  • Clean background check and drug test to include cannabis.
  • Aptitude to create and modify Microsoft Excel spreadsheets, including using formulas and sorting data.
  • Attention to details.
  • Ability to analyze and systematically compile technical and statistical information and to prepare reports; comprehend and make inferences from written material; interpret federal, state, and local government laws and regulations regarding grant agreements, contracts and administration.
  • Communicate orally and in writing with other staff, customers, clients, or the public.
  • Work effectively with a variety of staff, governmental representatives, and the public.

Job Type: Full-time

Pay: From $15.00 per hour
