WBA has an opening for an Office Administrator to handle administrative tasks for the agency. Responsibilities include but are not limited to the following:
- Greet customers as they come into the office and ensure they are assisted as needed
- Answer incoming calls, gather basic information about who is calling and what the call is in reference to, and transfer to the appropriate person within the agency
- Gather and scan documents into the agency’s client management tool
- Assist customers with making payments for their policies through various carrier websites
- Check voicemail messages and faxes and transfer to the appropriate person within the agency
- Sort mail that is delivered each day and ensure that each piece gets to the appropriate person within the agency
- Process daily downloads that come from the carriers into our agency management system and match to existing policies
- Manage office supplies; keep track of inventory, order additional supplies as needed, and ensure breakroom is tidy and organized
- Keep office calendar and PTO schedule up to date and send daily email to the team
- Pull daily reports from agency management system and update accounts as needed
- Help with onboarding of new employees by ordering supplies and getting work stations set up
- Coordinate office events; team outing, lunches, and other celebrations as needed
- Keep track of employee birthdays and volunteer days
- Assist office staff with various projects and tasks as needed
Since the person in this role will be the first point of contact for customers, it is important that he/she has a positive and cheerful attitude as well as the ability to make people feel welcome. Although this is an entry level position, there is opportunity for growth into other roles within the agency. WBA is looking for a candidate who is interested in a long-term career opportunity.
