Position Summary
Maintains office operations by receiving and distributing communications; maintaining supplies and equipment; picking-up and delivering items; serving customers.
Primary Duties and Responsibilities
- Greets clients, customers and contractors that come into the office. Answers phone and retrieves faxes and mail. Sorts items and directs visitors to appropriate personnel.
- May assist with time cards under the direct supervision of a Senior Project Administrator. May enter timekeeping information into company system and perform some filing of timekeeping documentation.
- Responsible for completeness of overall files including: employee files, expense report files, invoices, etc.
- Assist with maintaining supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
- Prepare invoices for payment by ensuring proper documentation is attached, correct forms and submission forms are completed and payment signatures are obtained.
- Assist with scheduling miscellaneous meetings for office; may prepare communication pieces for distribution or may take notes from meeting with the intent to distribute to employees.
- Data entry.
- Assist the Senior Project Administrator with preparing reports.
- All other duties as assigned.
- Avoids legal challenges by complying with federal, state, and local legal requirements.

- Carry out all duties in line with Company policies and procedures as amended from time to time.
Knowledge, Skills & Abilities
- Ability to learn and apply knowledge of policies, practices, business theories and systems.
- Attention to detail and ability to coordinate and provide administrative support to
- Demonstrated writing skills required to compose general and detailed correspondence.
- Must be able to effectively communicate with persons in and outside of the organization.
- Ability to multi-task and work in a fast-paced environment
- High level of attention to detail, initiative, problem solving, personal organizational and leadership skills.
- 24/7 Operations-Occasional holidays, nights, weekends are required.
Education and Experience
- HS Diploma or GED required
- Demonstrated knowledge of MS Office (Outlook, Word, Excel, and PowerPoint) required.
Work Conditions/Physical Demands
- Must be able to sit for long periods of time and occasionally stand and/or walk for short periods of time.
- Must be able to lift up to 20 pounds.
