About the role:
The Real Estate Administrative Assistant provides administrative and secretarial support to their assigned executive and department. The roles tasks include; financial record keeping, processing payroll, coordination of meetings and conferences, ordering supplies and working on special projects.
What you'll do:- Schedule and organize meetings, travel, conferences and department activities
- Perform desktop publishing
- Create and develop visual presentations for the senior vice president of investor relations
- Organize and prioritize large volumes of information and calls
- Sort and distribute mail
- Draft written responses or replies by phone or e-mail when necessary
- Respond to regularly occurring requests for information
- Take messages, answers routine and non-routine questions
- Work in cooperation with other system development assistants to cover phones
- Act as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs
- Handle confidential and non-routine information and explains policies when necessary
- Work independently and within a team on special nonrecurring and ongoing projects
- Act as project manager for special projects; planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures
- Type and designs general correspondences, memos, charts, tables, graphs and business plans
- Proofread copy for spelling, grammar and layout, making appropriate changes
- Responsible for accuracy and clarity of final copy
- Support market data analyst in maintenance of the department finances including; copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
- Bachelor’s degree in business or related field
- 1-3 years of related experience
- Experience implementing best practices and process improvement
- Ability to multitask and maintain thoroughness
- Strong time management skills
- Knowledge of financial database systems
- Ability to maintain composure in stressful situations
- Ability to work independently and as part of a team
- Ability to problem solve and prioritize
- Excellent oral and written communication skills
- Proficient in Microsoft Office
- Reliable, organized and precise
- Must be detail oriented and organized
