The Opportunity

The Weinstein Jewish Community Center in Richmond, VA is looking for a candidate with strong administrative, organizational, and leadership skills to support and serve as a strategic partner to the CEO and assist with the organization’s daily operation. This full-time position reports directly to the CEO. This position also serves as a Board liaison, responsible for communication and support for the Board of Directors as well as serve as a staff person on various committees.

The Position

The Executive Assistant to the CEO has the following key responsibilities:

Executive Calendaring and Scheduling

  • Build significant rapport with the CEO and understand this person’s day-to-day priorities, challenges and communication style.
  • Schedule and prioritize appointments and meetings to maximize CEO engagement and ensure the achievement of organizational goals.
  • Advises CEO of daily schedule while working closely with the CEO to ensure effective and timely follow up.

Liaison with Board of Directors

  • Build relationships with each Board member, provide needed information and assist in ensuring Board Engagement.
  • Responsible for sending notices, tracking minutes and policies while supporting management and advising on agenda items.
  • Create an annual calendar of meetings and timelines for the lifecycle of the organization’s fiscal year.
  • Prepare Board and Committee materials, ensuring accuracy of contents for Board meetings.
  • Attend Board and Committee meetings and properly record, document, gain approval, preserve and distribute minutes.

Executive Correspondence

  • Manage and support the CEO with external meetings including correspondence.
  • Prepare materials, documentation, and research to support the CEO.
  • Stand in at meetings for CEO as needed and deemed appropriate.

Special Projects and Staff Support

  • Provide CEO, Board members, and leadership staff with information and support to prepare them for meetings and presentations.
  • Serve as point person for leadership team to schedule team meetings, support team projects and initiatives.
  • Participate in departmental staff meetings, committee meetings and supervision meetings.

Relationship Building

  • Serve as confidential executive assistant to the CEO.
  • Build strong relationship with all staff to ensure a smooth working environment.
  • Develop and manage relationships with key stakeholders to ensure clear and timely communication for meetings and projects.
  • Work closely with volunteers, lay leadership and committees.

Qualifications

  • Bachelor’s Degree with 3 years administrative management required (executive level experience preferred).
  • Experience planning and leading strategic initiatives.
  • Excellent Microsoft Office skill set and the use of remote communication applications.
  • Demonstrated ability to be proactive and to anticipate needs.
  • Exceptional customer service skills.
  • Ability to manage and maintain sensitive and/or confidential information.
  • Must be flexible, well organized and detail minded while handling multiple priorities.

Compensation

This position is accompanied by a competitive salary and is eligible for full benefits including health and dental insurance, paid time off, and a retirement savings plan.

Pay: $50,000.00 - $55,000.00 per year
