Description
The Administrative Support Specialist a critical position of the Adult Outpatient Department’s organization. This position is often the first contact a potential customer or client has with the agency. This position includes a variety of tasks and responsibilities including opening the office for business and performing tasks that keep the office operational. This position requires flexibility with location and hours.
EXAMPLES OF RESPONSIBILITIES:
1. Develops positive working relationships with supervisor, coworkers and members of the administrative team.
2. Enters new and maintains client information in computer database including but not limited to verification of benefits and entering authorization confirmations.
3. Retrieves messages from voice mail and forwards to appropriate personnel. Answers outpatient incoming calls identifying self, assists caller with needs or forwards call to appropriate personnel.
4. Triages clinical calls and sets up timely appointments for clients. Maintains the department’s clinical appointments in the Electronic Health Record.
5. Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel. Monitors visitor access and issues passes when required. Answers questions about organization and provides callers with address, directions and other information.
8. Maintains fax machines/Email, assists users, sends faxes/emails and retrieves and routes incoming faxes/emails. Orders, receives and maintains office supplies.
9. Facilitates orientation group for new clients. Establishes fee payments for clients by using approved sliding fee scale.
10. Takes payments for services and posts them directly into the computer system. Reconciles money with receipts and charge tickets.
11. Meets with incoming clients during walk in hours, orientates them to the program, assists with signing consents.
12. May assist with supervision of drug screening for clients of the same gender.
13. Performs other clerical duties as needed.
Qualifications
EXPERIENCE:
High school diploma or general education degree (GED) and minimum of two years of customer service experience in similar position preferred. Must have excellent computer proficiency (MS Office – Word, Excel and Outlook) & excellent customer service skills required.
