How you make a difference
The Executive Assistant is responsible for providing highly confidential administrative support to the Hospital Administrator, relieving them of minor and routine administrative tasks. They effectively organize office operations and perform a variety of administrative duties, applying different methods and procedures. The role requires a strong understanding of hospital policies, practices, and procedures.
Key Responsibilities
• Maintain files, type correspondence, and complete necessary paperwork, ensuring timely completion.• Handle mailings and distributions within the Hospital and community, effectively managing communication flow.• Manage calendars, schedule activities, and prepare documentation for Governing Board meetings.• Collect and track timesheets of relevant staff, ensuring accuracy and timely submission.• Prioritize and relay mail (email and hard copies) and take minutes during assigned meetings, maintaining accurate records.
Qualifications & Requirements
Education
- High school diploma or equivalent required. College level courses preferable but not mandatory.
Experience
- A minimum of three years of experience as a secretary or administrative assistant, two of which must have been in support of upper management in the private sector or private/public partnerships. Must be proficient in Microsoft Word, Excel, Power Point, Outlook, and Internet.
