Summary:
Support performance of less experienced Administrative Assistance staff and overall effectiveness of team in performing moderately complex to complex administrative tasks. Responsible for compiling information, preparing moderately complex reports, and balancing routine general ledger lines or expense accounts. Perform complex administrative, transactional, operational, or customer support tasks. Provide a high level of professional support which includes a balance of more experienced level administrative work as well as ongoing ad hoc and project or business initiatives such as planning meetings, tracking deliverables and pulling routine reports. Assist with selectively referring callers, and answering questions regarding business unit policies and procedures. Provide subject matter expertise and interpretation of administrative procedures to less experienced staff. Provide administrative supervision and support to managers in the areas of reporting, customer or business documentation. Interact with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks. Support more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization.
Responsibilities:
- Performs heavy calendaring, document creation/editing and preparing expense report submissions
- Handles meeting logistics and preparation, manages invitations and facilities, and provides detailed data, information and resources to leader and participants
- Handles all personnel and confidential company materials with sensitivity and discretion
- On-boards/off-boards new team members
- Drafts complex and/or confidential correspondence
- Establishes and implements office procedures and controls
- Acts as an information source on group and company policies including STAMP.
- Responsible for facilities support, floor administration, space planning
- Develops excellent relationships with peer Administrative Assistants
- Support performance of less experienced Administrative Assistance staff and overall effectiveness of team in performing moderately complex to complex administrative tasks
- Provide subject matter expertise and interpretation of administrative procedures to less experienced staff
Qualifications:
- Previous experience as an Administrative or Executive Assistant
- Experience supporting senior level leaders/executives
- Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
- Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams and SharePoint) skills
- Good PC skills with the aptitude to learn new systems quickly
- Strong time management skills and ability to meet deadlines
- Strong attention to detail and accuracy skills
- Strong organizational, multi-tasking, and prioritizing skills
- Highly refined and professional verbal and written communications
- Experience reviewing and preparing expense reports for leaders
