Description

Overview of the Position:

Receives and routes incoming telephone calls and greets visitors to ACI; provides information and assistance to visitors; prepares outgoing mail. Properly process all shipped work orders. Enter data from work orders, verify information on work order and then prepare and mail, fax or e-mail to customers the invoices; provide clerical assistance when needed.

Essential Duties and Responsibilities:

  • Receive and route all in-coming telephone calls, taking messages or paging employees as necessary.
  • Maintain an up to date phone directory.
  • Greet visitors, provide necessary assistance, distribute and/or receive applications, route visitors to proper location/party.
  • Prepares out-going mail.
  • Receive, rectify, and process work orders.
  • Prepare and print invoices for every work order. Place completed invoices in numerical order.
  • Input receivers, print and attach to purchase orders, send for payment.
  • Mail, fax, or email all customer statements at least once per month.
  • Review and correct invoicing reports.
  • Review closed but not invoiced report to be sure all invoices have been created for all work order packets.
  • Review the $0 invoiced report to be sure all invoices that are at $0 should be at $0.
  • Responsible for scheduling hotel stays for all incoming customers.

Education / Experience Requirements:

  • Must have H.S. Diploma or GED

Other Knowledge, Skills, and Abilities:

  • Well-developed communication and interpersonal skills essential for communicating information to the public, employees and management.
  • Work requires knowledge of ACI and the practices and policies thereof.
  • Knowledge of multi-line telephone system, computers and software (Word, Excel) is essential as well as operation of miscellaneous office equipment.
  • Knowledge of Pentagon and PowerPoint software is helpful but not essential.

Language Skills:

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups, and/or boards of directors.

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands and Work Environment:

The physical demands described here are representatives of those that must be met by an employee to successfully perform the essential functions of this job.

  • Is occasionally required to stand; walk; reach with hands and arms; stoop, kneel, crouch, and crawl; and lift up to 10 pounds.
  • Is regularly required to sit and use hands to finger, handle, or feel.
  • Is frequently required to talk or listen.
  • No vision requirements.
