ESSENTIAL FUNCTIONS
1. Demonstrates competence in the performance of duties related stockroom replenishment.
a. Reviews Stock PAR levels and creates requisitions to reorder supplies. Runs automated stock replenishment report on scheduled day; audits report making necessary changes and submits to Purchasers to process.
b. Works with Purchasers relating to reorder status, back order reports and situations when needed; communicating information to Inventory Manager.
c. Maintains stock PAR levels efficiently to avoid stock outs and/or inventory overages.
2. Demonstrates competence in the performance of duties related to Inventory Control.
. Identify inventory discrepancies and performs inventory cycle counts; research and take appropriate steps to resolve including adjusts Perpetual Inventory.
a. Facilitates inventory disposal or donation to include Product Recall process under the direction of the Manager.
b. Assists with annualized perpetual inventory counts.
c. Identifies abnormal (high-low) inventory and all inventory shortages upon occurrence for Manager.
d. Identify locations for new items appropriately, build item in MMIS and label shelf.
3. Demonstrates competence in the performance of duties related to administrative minute taking / report keeping, data maintenance, training and education.
. Requests topics and creates Inventory Specialists group meetings Agenda and distributes within 72 hours of next meeting day.
a. Records Inventory Specialists group meetings Minutes and distributes at the next meeting day.
b. Maintain storeroom phone call log report by inputting data in Excel and graphing results in shared file. Reporting by email monthly results to manager no later than the end of the first week of the next month.
c. Maintain backup forms used for ordering/distribution to ensure accurate data is being used.
d. Assist with data integrity in MMIS system to ensure accurate information is available for items stocked in the main storeroom.
e. Under the direction of the Manager assists with orientation and training of new Inventory Specialist.
4. Demonstrates competence in the performance of duties related to automated replenishment system.
. Create / Edit / Delete items in ARS console.
a. Create/Edit/Delete users in ARS console within 24 hours of email date unless otherwise specified.
b. Reconcile temporary patients to captivate charges in ARS console within 48 hours of temporary transaction date.
c. Configures or reconfigures ARS based on specific department needs including proper product and location, par, refill point, load/unload items and label appropriately.
d. Troubleshoot ARS problems such as replacing flex bar, hard reboot station, correct IP address issues, reactivate orphaned locations, calibrate touch screen on station and place technical support calls.
5. Demonstrates competence in the performance of duties related to picking, issuing and delivering requested inventory supplies.
. Demonstrates inventory distribution process accuracy using ARS, MMIS or other inventory keeping tools. Correctly picks (ensuring a count accuracy of at least 98%) and delivers requested items documenting quantity, unit of measure and expiration dates.
a. Responds to STAT calls by having products available for pick up or delivery.
b. Checks/fills/maintains- Pyxis supply station/OR Specialty Carts, monitoring PAR level refills, stock rotation, identifies stock outage discrepancies, proper stock and bin location, bin identification and general neatness.
c. Issues/Credits perpetual inventory in MMIS to appropriate accounting units within 24 hours of distribution or receipt of product.
d. Checks inventory to be issued for expiration dates. Monitors all stocked inventory locations for expired goods in accordance with established schedules.
e. Acts as Inventory Specialists' resource to determine inventory allocation and delivery. Acts as Inventory Specialists' resource working with team to modify delivery schedule and product allocation.
6. Demonstrates competence in the performance of duties related to keeping the storeroom organized to maintain a clean and safe work environment.
. Labels bins with appropriate information and location to ensure products are stocked and accessible.
a. Rotates all received stock with first in, first out method. Pulls all data expired items and notifies storeroom team of occurrence.
b. Maintains top shelf storage to be below 18 inches of ceiling height for all isle shelves.
c. Aisle ways are kept clear of supplies, empty boxes, loose paper or other debris.
d. Daily breaks down empty card board boxes and discards appropriately in internal recycle bin.
e. Works with Environmental Services to ensure area is cleaned in accordance with Infection Control Guidelines and policies.
Experience Minimum Required
o 1 year Inventory-Distribution experience.
Experience Preferred/Desired
o 3 years Healthcare Inventory-Distribution experience.
o Has had team leader experience.
Education Minimum Required
o Higher Education Experience / Associates Degree in Business / Healthcare related field.
Education Preferred/Desired
o Associates Degree in Business / Healthcare related field.
Special Skills Minimum Required
o Ability to use computers/calculators and other electronic inventory tools.
Special Skills Preferred/Desired
o Additional inventory report writing skills using Micro soft tools or other applications.
