The minimum base salary for this position is $17/hour and the maximum is $19/hour, plus additional annual profit-sharing bonus potential. Salary may vary based on education, knowledge and experience.


Job Summary:

The ideal candidate will be skilled in customer service and have the ability to maintain a professional attitude. The candidate must also be able to work Monday through Friday from 8:00 am to 5:00 pm.


Responsibilities include:

  • The primary function of this position is the operation of a multiline telephone system which includes answering and directing incoming calls to the appropriate party.
  • Maintain phone system information, including telephone programming, voice mail administration, telephone features.
  • Have an in-depth understanding of phone system and ability to explain telephone features.
  • Function as receptionist including greeting guests and answering questions as well as maintaining reception area.
  • Route and manage electronic faxes.
  • Provide typing, spreadsheet preparation, and other clerical support as requested.
  • Copy, bind, and mail documents.
  • Receive and distribute mail; distribute UPS, Federal Express, and other deliveries.
  • Prepare outgoing mail, Federal Express, and UPS packages.
  • Understand building security systems.
  • Understand role in Crisis Management Plan and Business Emergency Plan, participate in training, and be prepared to assist in a crisis or event that occurs.

Other duties may include:

  • Making travel arrangements for employees that need help.
  • Assist marketing with conference logistics.
  • Maintain and monitor conference room, office, workroom, and online calendars.
  • Manage tasks associated with various meeting functions, webinars, and the conference room.
  • Assist senior managers and other office personnel as needed.
  • Miscellaneous office tasks as assigned by manager/supervisor.
  • Track and distribute birthday greetings to employees.
  • Assist with holiday events as requested.
  • Manage all recycling needs.

Job Requirements

Requirements:

  • High school diploma.
  • Two years recent administrative support experience.
  • Articulate experience operating a multiline phone system.
  • Proficient using MS Word and Excel.
  • Must be able to interact professionally with diverse personalities.
  • Demonstrate and provide examples of organizational skills and a customer-focused attitude.
  • Independent judgment is required to plan, prioritize, and organize diverse workload.
  • Must have previous experience handling confidential information.
  • Resume will function as an example of the ability to produce a document in MS Word as well as follow instructions.
  • Job requires the person filling this position be able to appear for work on time; to follow instructions from manager; to interact effectively with coworkers and clients; to maintain positive attitude; and to accept guidance and constructive criticism.

After an offer of employment is made, the candidate must successfully pass a pre- employment background check, drug screening, and a DMV records check that meets WEST’s minimum criteria to operate a motor vehicle on behalf of the company. A valid driver’s license will be required.
