This position will oversee the day-to-day operations and administration of the WVSOM academic management system (AMS), other academic technology programs or solutions (e.g. electronic evaluations, video conferencing solutions used for educational activities, technologies used for assessment, etc.), the Office of Assessment and Educational Development (OAED) website, and any other technological processes or mechanisms that arise. This position will be responsible for designing/maintaining system interfaces including the coordination and loading of data from and between other databases throughout the institution; troubleshooting and interfacing with vendors as assigned; coordinating and managing specific projects related to academic technology; providing technical support/customer service to faculty, staff, and students addressing academic-technology issues or problems; conducting consultations with faculty and staff on appropriate and effective use of technology to support their desired instructional activities; and identifying new technology to support the medical education process. This position will develop and distribute training materials in both electronic and face-to-face forms to assist and support faculty, staff, and students with the use of these various technology systems. The position will serve as a key resource in providing recommendations for effective and expanded use of academic technology needed in achieving the systematic academic goals of the institution. In addition, this person will participate in analysis of appropriate systems or technologies, data sharing, and fostering professional associations with peers and other departments dealing with academic data.
Education/Knowledge

Minimum Education

Required Licenses/Certification
Master’s degree in Instructional Design, Instructional Technology, Educational Technology, or closely related field preferred. Ideal candidate will possess a minimum of two years of recent and related experience. Higher education experience required and medical education experience preferred. Prior experience and familiarity with academic management systems or learning management systems desired. A combination of education and recent and related experience may be considered.

Skills Required
This position requires advanced knowledge in the following areas:
  • Office software, data analysis software, academic management platforms, survey administration software, and web-based enterprise systems
  • Database development and management and network systems
  • Ability to design and create reports to summarize aggregate data that are visually attractive and easy to understand
  • Possess excellent written and oral communication skills
  • Training or teaching experience
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff
  • Ability to work a flexible schedule which may include evening and weekend assignments

Specific Job Functions
Academic Technology
  • Manage elements of the AMS and other software packages – Overall:
o Perform administrative duties in the AMS i.e. grant access, assist in the upload of course materials or resources, etc.
o Collaborate with faculty and staff to gather information to support the system setup and processes.
o Troubleshoot evaluations, schedules, supporting documents, and configuration issues and collaborate with other team members to resolve issues.
o Troubleshoot calendars, schedules, and tagging ensuring accuracy and correcting issues.
o Serve as the lead contact for administrators who do not have an academic assistant for uploading student learning materials.
o Provide technical guidance, instructions, and support for WVSOM students, faculty, and staff.
o Provide support, as needed, to the National Boards and Exam Center for exam setup and administration including serving as a proctor for exams.
  • Manage elements of the AMS and other software packages – Administrator for Surveys/Evaluations:
o Oversee the evaluation setup, configuration, and reporting in the system.
o Create all student survey groups based on the procedures described in the WVSOM Faculty Handbook and institutional policies.
o Create, develop, and administer all student required, optional, and other student surveys based on the entire WVSOM curriculum.
o Track and monitor required respondents and send notifications.
o Assist students with technical, access, and timeframe issues.
o Control the release of feedback data.
o Report non-compliant students by means of WVSOM intranet, letter, and email to the Associate Dean of Preclinical Education, Associate Dean of Predoctoral Clinical Education, Associate Dean of Assessment and Educational Development, Assistant Dean for Student Affairs.
  • Manage elements of the AMS and other software packages – Administrator for SurveyMonkey surveys/evaluations:
o Perform administrative duties in SurveyMonkey (e.g., grant access and permission levels to the department account).
o Create and administer all Faculty Development, Needs Assessment, In-Service, In-Gathering, WVSOM Services, WVSOM Rural Health Initiative, Osteopathic Principles and Practices, and other specialty/requested surveys.
o Troubleshoot problems with administration of surveys/evaluations through SurveyMonkey.
  • Department technology and devices:
o Collaborate with other members of OAED to manage and update the department website
o Manage the inventory, purchasing, and maintenance of departmental technology and devices (used by the entire department).
o Evaluate and assess departmental technology and devices and communicate issues with Associate Dean and/or Information Technology Department.
o Collaborate with the Information Technology Department for purchasing, maintenance, and necessary improvements related to these devices.
Training Duties and Responsibilities
  • Train staff, faculty, and students on the use of the academic technologies utilized by the institution.
  • Train faculty on appropriate instructional design principles and educational best practices.
  • Develop, modify, and implement training through structured formal sessions delivered in a classroom, through video networks and production, in one-on-one consultation sessions, or online.
  • Remain flexible to the changing priorities of a fast-paced environment.
  • Ensure all training is performance based.
  • Track trends and constantly create new and innovative training sessions.
  • Provide marketing of training sessions to all users.
Other Duties and Responsibilities
  • Assist Associate Dean for Assessment and Educational Development with projects as necessary.
Perform other related duties as assigned.
