OVERVIEW:
Westech International, Inc. (WESTECH) is a small business specializing in federal government contracting, providing services to the Department of Defense and Department of Energy. The Administrative Assistant will organize and coordinate the office to ensure organizational effectiveness, efficiency, and safety. The Administrative Assistant will be an energetic professional who does not mind wearing multiple hats. The Administrative Assistant must be experienced in handling a wide range of administrative and executive support tasks and able to work independently with little or no supervision. The Administrative Assistant will be a well-organized and flexible individual who enjoys the challenges of supporting an office of diverse people.
JOB DESCRIPTION:
Required duties include:
Organize office operations and procedures
Organize and schedule meetings and appointments
Partner with HR on recruiting and onboarding efforts.
Provide administrative support to managers as requested.
Coordinate with IT department on all office equipment
First point of contact for vendors, service providers and property owner
Provide general support to visitors
Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
Responsible for creating PowerPoint slides for presentations
Responsible for managing office services by ensuring office operations
Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, and retrieval
Responsible for ensuring office financial objectives are met by complying with annual budget for the office, planning the expenditures, analyzing variances, and conducting necessary corrections that may arise
Participate actively in the planning and execution of company events
Ensure electronic filing systems are maintained and current
Establish and monitor procedures for record keeping
Ensure security, integrity, and confidentiality of data
Monitor and maintain office supplies inventory
Review and approve office supply acquisitions
Handle customer inquiries and complaints
Maintain a safe and secure working environment
REQUIREDSKILLS:
Proven office management, administrative, or assistant experience
Knowledge of office management responsibilities, systems, and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office with an emphasis on Word and Excel
Knowledge of accounting, data and administrative management practices and procedures
Knowledge of clerical practices and procedures
Knowledge of human resources management practices and procedures
Knowledge of business and management principles
Computer skills and knowledge of office software packages
EDUCATION: High School Diploma or equivalent
REQUIRED EXPERIENCE:
Minimum 5 years of combined experience as an Administrative Assistant
