What are the responsibilities and job description for the HRIS Coordinator position at Western Division?
This position is responsible for the timely and accurate collection, processing and maintenance of HR data. As a result, there is compliance with mandates, policies and objectives. This position also provides information critical to enabling the effective management of Human Resources for the North and Central Illinois Division.
POSITION TITLE: HRIS (Human Resources Information System) Coordinator

REPORTS TO (TITLE): Assistant Director, Human Resources

STATUS TYPE: Full Time
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for the data integrity of our human capital management platform (ADP Vantage) and applicant tracking system (ADP Recruiting Management).
- Accurately process employment information according to policies and procedures
- Become proficient in the HRIS and act as the division “expert”
- Update appropriate data fields in the HRIS
- Perform regular audits to identify and correct inaccurate data, partnering with Payroll staff when necessary
- Compile various metric reports and assist with data analysis
- Create and run various reports as needed for HR and other department managers
- Provide training on HRIS for various staff to help ensure effective/efficient use of system
- Assist with collection of information for compliance reporting (i.e. ACA, EEO, AAP)
- Assist with processing weekly employment changes
- Gather information from HR Managers to produce a weekly list of employment changes (“DFB agenda”)
- Inform select departments of employment changes as needed
- Create and distribute monthly birthday/anniversary lists
- Respond to requests for employment verifications in a timely manner
- Provide administrative support to HR department
- Coordinate distribution and receipt of documents (i.e. updated handbooks)
- Ensure HRIS contains updated forms for onboarding, including tracking employees compliance with annual updates. (employee handbook, acknowledgements in the system)
- Ensure new hire orientation is available for the division and is kept up to date.
- Post legally required notices electronically so all corps, institutions and DHQ can access for compliance.
- Provide assistance with communicating ongoing HR information (i.e. HRIS trends, info for division newsletter)
- Assist in the accurate and timely processing of seasonal worker information according to department policy and procedure
- Responsible for the Recruiting Management System
- Manage the applicant tracking system
- Maintain job postings via applicant tracking system and job posting sites.
- Ensure background checks of candidates for employment are completed within the system and have been checked through Central Registry.
- Responsible for monitoring the I-9 electronic submissions for compliance working with Director and Supervisors on how to complete.
- Forward all MVRs requests to insurance provider for clearance to drive
EDUCATION/EXPERIENCE
- Bachelor’s degree in IT, Human Resources or a related field
- HCM system experience, preferably with ADP vantage
- Coursework in human resources, accounting, finance and/or computer technology preferred
- 2 years of experience in a computer-based environment and an excellent working knowledge of Microsoft Office, particularly Excel
- 1-2 years of experience with Human Resource Management software involving data collection, processing and report-writing a plus
