The Potter College of Arts and Letters seeks an Operations Specialist to support the Dean's Office and academic units within the college. The Operations Specialist requires the highest level of initiative, accuracy and judgment and is responsible for operational and fiscal duties, including liaison with academic departments, supporting the Dean's Office, and supporting the college during staff vacancies and leave of absences.

Duties Include:

  • Ensures timely and accurate payment to all full-time and part-time faculty within Faculty Load and Compensation process.
  • Assists academic units with Employee Personnel Action Forms (EPAFS).
  • Ensures Graduate Assistantship departmental budget accuracy, form accuracy, and successfully EPAFs and managing the onboarding process.
  • Responsible for 1-time fiscal commitment tracking and reimbursement between academic units and the Dean's Office.
  • Acts as a proxy approver, as needed, for college purchasing approvals.
  • Serves as a lead for Operations Coordinator positions, overseeing daily delegations, acting as the primary college point of contact, and assisting with staff evaluations.
  • In the event of staff vacancies or leaves of absences, assists academic units with budgetary matters such as purchasing, tracking, and reconciling departmental budgets and course fees, form 16s, payment authorizations, travel vouchers, inter-accounts, TopShop, EPAFs, year-end procedures and other budgetary matters as needed.
  • In the event of staff vacancies or leave of absences, assists academic units with operational matters such as course scheduling, course assignment and processing of part-time faculty, departmental e-mails, performance contracts, scholarships, student worker onboarding and timesheet approval and other operational matters as needed.
  • Acts as a resource for new staff training and questions.
  • Provides assistance as needed to the college budget manager and administrative specialist.
  • May be required to work on multiple projects at once and move to new initiatives with little notice.
  • Review and development of policies and procedures for the college.
  • Special Projects designated by the Dean's Office, including oversight, data analysis, reporting, presentations, etc.
  • Other duties as assigned.


Job Requirements:
  • Four years of post-secondary education, plus two years related experience. Three years of additional related experience can substitute two years of the education requirement.
  • Experience with complex operations and/or purchasing and/or budgeting and demonstrates potential to work on special projects and shift priorities with little oversight.

Additional Information:


Hourly Rate: $20.05 - $22.56/hr
