Westlake Dermatology is one of the largest dermatology, cosmetic surgery, and dermatopathology group practices based in Austin Texas, with the current expansion of clinic spaces in Houston, Dallas, and San Antonio. Westlake Dermatology is looking to hire a Payroll specialist to assist with biweekly payroll, assisting both the HR and Accounting teams.
Responsibilities and Duties:
- Process bi-weekly multi-state payroll for salaried and hourly employees and ensure the overall accuracy of employee data.
- Schedule, prepare, open, balance, audit, close, and finalize all payroll cycles in a team environment.
- Preps and imports pay data files into the payroll system.
- Process and peer audit employee payroll data, payments, and hours.
- Verify and reconcile wages and hours from UltiPro systems.
- Calculate and process timecards and corrections.
- System record maintenance including new hire setup, tax form processing, timekeeping input, benefits setup, terminations, garnishments, and other functions.
- Audit off-cycle manual checks.
- Process leaves of absence and terminations with accuracy according to state laws. Understand and minimize penalty pay.
- Review and respond timely to tickets, telephone calls, e-mails, and mail.
- Administration functions include filing, working reports, record keeping, and communication.
- Establish and maintain close relationships with HR assisting them with payroll inquiries.
- Interpret payroll policies and procedures to company employees of all levels.
- Establish and maintain corporative team working relationships.
- Research and process uncashed checks for escheatment reporting purposes.
- Completes payroll processing (start to finish) to include verify HR data input from Personnel Action Forms, deduction authorizations, calculate mid-cycle salary changes, data entry for W-4 Forms, Direct Deposit Authorization forms, and other supplemental earnings and paycheck distribution.
- Preps and imports pay data files into the payroll system.
- Resets employee and/or supervisor timekeeping system passwords.
- Generates and reconciles reports each pay cycle, then submits online to appropriate agencies via the appropriate website.
- Runs payroll reports for reconciliation purposes.
- Assists with creation/updates to payroll procedures.
- Maintains files in an organized manner, which includes labeling and filing in appropriate folders.
- Works with Finance team members to ensure data is booked correctly from the payroll system.
- Answers incoming phone calls and emails regarding payroll questions.
- Assists employees with timekeeper Time Stamp issues.
- Assist with completion of timekeeping system audits and reports findings to Payroll Manager.
Qualifications:
- Bachelor’s degree or CPP (Certified Payroll Professional) preferred.
- Minimum 1-3 year’s recent hands-on US payroll experience required.
- Knowledge of UltiPro and Kronos strongly preferred.
- Strong Excel, Windows, and Google Doc skills required.
- High-level understanding of system and how they interface.
- Ability to multi-task.
- Strong interpersonal, organizational, oral, and written communication skills required.

- Strong analytical skills with an ability to detect inconsistencies in data.
- Skill in analyzing and interpreting financial records.

- 1-2 Year working with UKG/Ultipro/Kronos
- Advanced MS Office Skills (Word, Excel, Outlook)
