What are the responsibilities and job description for the Manager of Materials/Purchasing position at Westminster Canterbury Management Co.?

The* Manager- Materials Management/ Purchasing Director *provides overall leadership and direction of the materials management and purchasing functions, including contract negotiations and fulfillment, insurance and risk management oversight, to achieve service and inventory goals, including the timely delivery of goods and services, and develop innovative processes to drive improvement and management and communication of inventory service recovery.
MAJOR ACCOUNTABILITIES/ESSENTIAL JOB DUTIES:

  • Interview, hire, supervise, coach, evaluate, discipline and assist employees in setting and meeting performance goals. Develop and monitor performance and responsibilities of assigned staff while monitoring staffing patterns
  • Develop and control department budgets, statistical monthly report, and budget variance report. Prepare specialized reports upon request
  • Support all departments in selection of goods and services; negotiate purchase agreements to ensure best quality, delivery and pricing available; maintain contracts and required supporting documentation for business agreements
  • Forecast and manage inventory planning and purchase of health care supplies to ensure health care needs are met and appropriate inventory available
  • Direct the procurement card program; provide training and monitor card usage to ensure compliance with corporate policies and objectives
  • Direct risk assessments in public areas and identify trends; Oversee communication of incidents to insurance providers, legal counsel and represent WCR on behalf of the CFO
  • Identify and assess process improvements to increase efficiency and accuracy
  • Identify vendor opportunities and challenges and partner with the operations team to ensure appropriate resolution
  • Manage the design component of renovation projects to include specifications and ordering of goods, contracting with vendors, and oversight of schedule.
  • Manage patient billing system by providing process and tools to accurately bill residents for supplies and services utilized
  • Manage Print Shop to provide best quality printing on a timely basis at reasonable cost, while maintaining updated equipment
  • Serve on the Safety Committee and fulfill all committee responsibilities as outlined in the Quality Assurance Program for the organization
  • Manage shipping and mailing of packages and letters, getting best costs with most efficiency needed
  • Additional duties as assigned

PHYSICAL REQUIREMENTS:

  • Ability to lift 25 pounds without assistance, 26 pounds with manual or mechanical assistance
  • Ability to bend, stoop, reach and crawl under equipment as needed
  • Ability to walk two miles per day pushing cart of up to 200 pounds

REQUIRED KNOWLEDGE, SKILLS AND ABILITY:

  • Strong working knowledge of inventory planning, forecasting techniques as well as operational systems and inventory management
  • Inquisitive, detail-oriented with strong quantitative analytical skills and an innovative approach to problem solving to set priorities for actions and resolutions
  • Ability to interpret, communicate and implement policies, procedures, contracts, regulations, financial records, reports, etc. to staff and all constituencies
  • Ability to effectively negotiate and manage contract purchases
  • Superior listening skills and ability to build effective relationships and make independent decisions
  • Ability to lead and motivate staff to achieve the desired results
  • Effective verbal and written communication skills
  • Computer skills, including proficiency in Microsoft Office
  • Ability to multitask in a fast paced dynamic environment

DESIRED KNOWLEDGE, SKILLS AND ABILITY:

  • Strong knowledge base of community resources

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in business administration or related field or combination of experience and education to fulfill position requirements
  • Eight years of directly related experience
  • Three years of management experience
  • Valid Driver’s License in the State of Virginia

DESIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s Degree in business administration or related field
  • Experience in a Continuing Care Retirement Community (CCRC)
  • Three years of risk management experience
  • One year decorating or design experience
