Manager of Operations Support

Responsibilities

Performs operational tasks to maintain technical and logistical support to flight crew members cabin attendants, and/or Directors as needed. Manages operational subscriptions and maintains vendor relations across FBOs.

• Work with the Director of Flight Operations in data gathering and research.
• Maintain crew member’s Electronic Flight Bag subscriptions and application access.
• Arrange logistical coordination for shipping and receiving WUPJ stock, FMS databases, logbooks, and other promotional materials, etc..
• Contract negotiations with FBOs.
• Works directly with finance to resolve any invoice issues.
• Initiate and manage all aircraft FMS and Nav databases subscriptions.
• Manage project tasks of individuals and/or teams supporting this position.
• Maintain and audit all subscription services for aircraft.
• Address and resolve all crew subscription service and user issues.
• Review and approval of all subscription invoices.
• Update aircraft profiles/company documents in Argus/Wyvern.
• Maintain AC Fleet Document folder on the company document repository (Registrations, Airworthiness Certs, Insurance, etc.).
• Maintain Fleet Fuel cards.
• Coordinate with other departments across the certificates to resolve Ops related issues.
• Purchase & manage stock of various supplies & equipment.
• Address and close all open invoices at FBOs.
• Complete FMS disk formatting and download processes.
• This position is the point-of-contact for all WUPJ pilots for support requests.
• Assist with conformity of airplanes including, but not limited to, custom decals, ops manuals, databases, company aircraft on-board publications, crew communication devices, vendor accounts, and insurance documents.
• Coordinate with manufacturers to ensure aircraft specific manuals and documents are maintained in accordance with regulation.
• Review statistical data to ensure completion of 30- and 90-day audits meet both WUPJ expectations and regulatory requirements.
• Perform other duties and/or special projects as assigned by the Chief Pilot, Director of Flight Operations, Director of Safety, Director of Quality Assurance, or higher authority.
• Manage project tasks of individuals and/or teams supporting this position.
• Assist Director of Flight Operations with the development of appropriate controls, policies, and procedures.
• May assist with change management of WUPJ publications, manuals, and documents.
• Participates in internal audits, compliance, and risk management/SMS resolution.
• Perform other duties and/or special projects as assigned by the Director of Flight Operations.

Qualifications

• High School Diploma or GED
• Pilot certificate or prior aviation industry experience is preferred.

• Advanced ability to use Microsoft Office products, as well as other technologies.
• Experience keeping detailed records.
• Excellent interpersonal and relationship building skills.
