The Associate Team Leader of Project Administration will coordinate and oversee all administration activities within a Construction Operating Group, including: reporting, analysis, oversight of purchase orders and payment accuracy, data integrity, compliance to policy and procedure, and maintaining communication systems and tools. This TM is an integral part of the COG leadership team, whose expertise informs business decisions and process improvement. The ATL‐PA is driven to make a positive impact on financial performance by providing a high level of quality for all program deliverables. Must reside within one of the regions in the COG.

Responsibilities:

  • Ensures accurate and timely reporting is provided on a daily, weekly and periodic basis for all disciplines within the Construction Operating Group
  • Ensure operational expenses and project costs are captured accurately.
  • Oversight and maintenance of USGN data, including project setup/closeout, loading budgets and financial data, weekly audits of milestone dates and vendor access, etc. Additional administrative support functions within USGN as required to support overflow from the administration team. 
  • Manage Basware auto‐flow desk for all invoices submitted through construction invoicing, with review of POs and invoices as required.
  • Ensures timely turnaround of POs from the Project Administration team, supporting on overflow as needed.
  • Writes all POs for general contractors, and confirms coding accuracy of pay apps.
  • Initiate and drive the Project Closeout process for new store builds and major remodel projects.
  • Compile monthly report for COG travel expenses vs budget.
  • Provide detailed analysis of COG R/M spend at category level, identify opportunities to lower operational expenses and assist in asset management/ facility maintenance planning.
  • Provides financial reporting and analysis at vendor or scope level to identify cost savings opportunities, and variance to historical spend.
  • Monitors COG compliance to global initiatives for savings in cost to build.
  • Supports Executive Leadership and Facilities teams in lease study relative to Landlord responsibilities and deliverables and lease deadlines.
  • Partners with stakeholders in leadership, finance, fixed assets, and construction accounting team in deep analysis for all areas of financial responsibility, advise on root cause of opportunities, and support development of corrective actions to assist the COG in meeting and exceeding forecast and budgetary expectations.
  • Support and develop analysis and reporting tools which are carefully crafted to the audience and intent, with a focus on controllable versus non‐controllable impact and improving performance over time.
  • Partner with COG leadership and TMs to ensure accuracy of capital planning, contract spend, and expense impact to project costs and operational accounts.
  • Act as single thread point of contact for global fixed assets team, including: capitalization determinations, write off estimations for ICP development, partnering with stores to understand asset liability in relation to ROIC studies, and coordinating asset acceleration based on project schedules.
  • Support MBR / WBR ‐ for Global Store Development communications with COG, and as needed by regional leadership for finance or operational stakeholders.
  • Ensures COG compliance to Spending and Transaction Policy, and SOX requirements   Ensures all COG communications protocols are well maintained and supported, including sharepoint, PERF, One Note, and common file organization.
  • Arrange and support meetings, programs, events as needed
  • Other administrative duties as assigned

Functional Knowledge:

  • Must have comprehensive understanding of Store Development functions, tasks, methods, systems, tools, and procedures.
  • Develops and recommends methods to continuously improve systems and processes.
  • Minimum 3 years of similar accounting/analysis experience
  • Advanced Excel skills required
  • Working knowledge of Basware and USGN is required
  • Familiarity with Peoplesoft, Insights, Microsoft Project and Tango is a plus
  • Outstanding analytical skills, with ability to evaluate and clearly communicate financial results

Education & Experience:

  • BA/BS degree and 2‐4 years’ relevant experience OR equivalent combination of education and relevant experience.
  • Prior leadership experience not required but may have informally led teams or performed in a team lead type of role.

Physical Requirements / Working Conditions:

  • Ability to physically perform general office requirements.
  • This position may require up to 15% travel.
