What are the responsibilities and job description for the NEMT Dispatcher- will train position at Willamette Valley Transport?

We are looking for a reliable employee to learn how to dispatch Non Emergency Medical Transportation. Non Emergency Medical Transport is a fancy way to say that we pick up clients who are going to medical appointments, shopping and family gatherings in a stretcher/wheelchair lift van or ramp van. A NEMT dispatcher assigns drivers to vehicles, and vehicles to routes. Dispatchers receive phone and email requests for rides, transmit messages to each other and to drivers, and track the vehicles. A dispatcher will build trips for a client calling in needing a transport. A dispatcher will also learn how to create a schedule for the next day's trips. The ideal candidate must be an excellent communicator and able to remain calm and composed, especially in busy situations. You must be able to multi-task as well as take the appropriate actions with little supervision (after being trained, of course). Accurate and timely transmission of information is needed to make sure our customers are great service to and from their appointments. Dispatchers work with other dispatcher's and call takers during the day to continually improve our wheelchair van service. Must be able to work with 6 screen monitors at the same time.

  • Must have reliable transportation and not rely on transit for your commute.
  • Hours: Monday through Friday (1/2:00 pm to 7/8 pm)

Other responsibilities:

  • Communicate with brokerages
  • Find additional trips to supplement the schedule to increase efficiency
  • Indicate to brokerages any canceled or no-showed trips
  • Call brokerages regarding misinformation or missing trip information
  • Manage incoming communications
  • Receive and respond to calls, emails, and faxes appropriately
  • Create and schedule incoming trips, whether brokered or private
  • Delegate inquiries, repair orders, and solicitations appropriately
  • Reorganize the schedule, actively
  • Analyze the schedule for dead head and oversight from PM Dispatcher
  • Rearrange trips and support tasks to create more efficient routes
  • Ensure drivers are completing necessary lunches and breaks through the workday
  • Resolve conflict and document incidents as they occur
  • Maintain a clean and organized working environment
  • Remove waste and recycling from office when needed
  • Ensure doorways and paths of travel are clear from debris
  • Greet visitors and employees to the office in a professional and friendly manner
  • Check all brokerages before leaving to check for surprise ride requests
  • Update documents containing driver’s schedules as changes; needed or preferred; occur
  • Verify and change, if needed, notations for the other dispatchers to show who currently has or switches what vehicles and when.

Qualifications:

  • Outstanding organizational, strategic, and analytical skills
  • Extreme detail orientation
  • Considerable and specific knowledge of streets and highways in surrounding areas
  • Typing speed of 50 WPM and ability to touch type
  • Sound judgment and reasoning in fast paced environments
  • Basic knowledge of computers and troubleshooting
  • Ability to quickly learn URL based dispatching software
  • Proficiency in English (written and oral) - Additional language proficiency encouraged
  • Sense of compassion and positivity toward the underprivileged, elderly, and the physically and developmentally disabled

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

COVID-19 considerations:
All customers boarding our vehicles are required to wear masks. The drivers, too , must wear masks. Regular cleaning of work areas is required. Vehicles, too, are cleaned to appropriate standards.
