Willdan Lighting and Electric (WLE), a subsidiary of Willdan, is seeking a Program Administrative Assistant in Maryland. The individual in this role will further the relationship with the EmPOWER MD program implementor while assisting Energy Efficiency Auditors and the operations team in their day-to-day activities.
Essential Duties and Responsibilities
- Support Sales and Operations Manager with daily operations and provide administrative support for both office and field Energy Efficiency Auditors with lead generation tracking, data entry, and process improvement.
- Verify customer's eligibility for programs.
- Generate reoccurring reports regarding sales and accounting.
- Maintain accurate data entry and monitoring with a strong attention to detail.
- Strong proficiency in Excel, including using: sum/division equations, = index, =match, =vlookup, and basic knowledge of pivot tables.
- Support management of operations pipeline, ensuring the installation of 90% of jobs within 90 days of sale.
- Aid in production as needed - support hiring subcontractors, ordering materials, preparing spec sheets, scheduling installations, ordering lifts and other equipment, addressing installation issues, and retrieving project documentation.
- Maintain and monitor sales tacking logs.
- Continuously maintain updated Certificates of Insurance, electrical licenses, and contracts.
- Monitor program payables and receivables, track invoices and payments, and create monthly reports on a project level.
Job Requirements / Qualifications
- 2-5 years of administrative experience.
- Self-motivated, accountable, responsive to requests, sales-oriented mentality.
- Sound business ethics, including the protection of proprietary and confidential information.
- Excellent verbal, interpersonal and written communication skills.
- Proficiency in MS Office Applications (Word, PowerPoint, Outlook, Excel).
